Key Responsibilities :
Business Requirements Gathering :
- Partner with HR stakeholders (including HR operations, talent management, compensation, payroll, and benefits teams) to understand business needs, challenges, and objectives related to HRMS.
- Gather, document, and prioritize business requirements through workshops, interviews, and surveys to ensure the HRMS meets organizational and departmental needs.
- Translate business requirements into clear, actionable functional specifications for system configuration, enhancements, or new functionality.
Process Mapping & Analysis :
Map current HR processes, workflows, and systems to identify gaps, inefficiencies, and areas for optimization.Provide recommendations for process improvements that can be implemented via the HRMS to enhance operational efficiency.Analyze HR data, trends, and feedback to propose system improvements and ensure HRMS is aligned with business priorities.System Configuration & Customization :
Work with IT teams and external vendors to ensure HRMS configurations are aligned with business needs, ensuring that the system supports core HR functions such as payroll, recruitment, performance management, learning, and employee benefits.Advocate for user-friendly HRMS interfaces that align with HR business processes to improve adoption and minimize system errors.Assist in the development and execution of system changes, ensuring the HRMS is always optimized to meet evolving business requirements.Testing & Validation :
Develop testing plans and assist in user acceptance testing (UAT) to ensure system changes meet business requirements and are free from errors.Work with end-users to test new HRMS functionalities, track issues, and collaborate with IT to resolve defects before deployment.Validate that new system configurations meet HR's functional needs and ensure that they comply with legal and regulatory requirements.Training & User Support :
Develop and deliver training programs to HR teams to ensure they are equipped to use HRMS effectively and efficiently.Provide ongoing support to end-users, addressing system-related queries, troubleshooting, and resolving issues.Create and maintain user documentation, including manuals, FAQs, and best practice guides for HRMS users.Reporting & Data Analysis :
Leverage HRMS data to generate reports, dashboards, and analytics that provide valuable insights into HR metrics such as turnover, recruitment, performance, and compensation.Support HR leadership with data analysis and reporting, using HRMS tools to drive better decision-making.Analyze HRMS data to identify trends and areas for improvement, recommending adjustments to HR processes or system configurations accordingly.System Optimization & Continuous Improvement :
Monitor system performance, assess user feedback, and make recommendations for continuous improvements or system updates.Work with HR leadership to ensure HRMS aligns with changing business goals, organizational structures, and HR strategies.Stay current on HRMS industry trends, best practices, and emerging technologies to ensure the system remains competitive and efficient.Compliance & Risk Management :
Ensure that HRMS solutions are compliant with legal, regulatory, and internal policies related to labor laws, data privacy, and confidentiality.Regularly review HRMS for data integrity, security vulnerabilities, and adherence to privacy regulations (such as GDPR or HIPAA).Assist in audits and compliance reporting as required by legal or organizational standards.Skills and Qualifications that will make you successful at this Role :
Education : Bachelor's degree in human resources, Business Administration, Information Technology, or a related field.Experience : 8+ years of experience in business analysis, particularly in HRMS or related HR technologies, with a strong understanding of HR processes and operations.HR Knowledge : In-depth understanding of core HR functions, including core HR, recruitment, payroll, performance management, benefits administration, and learning and development.HRMS Expertise : Experience with HRMS platforms (e.g., Workday, SAP SuccessFactors, Oracle HCM, ADP, etc.), with a focus on business-side configuration and user experience.Analytical Skills : Strong analytical and problem-solving skills, with the ability to assess complex business needs and translate them into actionable system requirements.Communication Skills : Excellent written and verbal communication skills, with the ability to effectively collaborate with stakeholders across business and technical teams.Project Management : Ability to manage multiple priorities, deadlines, and projects in a fast-paced environment while maintaining high-quality work.Attention to Detail : Strong attention to detail and ability to ensure HRMS configurations and outputs are accurate and aligned with business goals.Preferred Qualifications :
Certification in business analysis (e.g., CBAP, PMI-PBA) or HRMS platforms.Experience with HRMS integration, data migration, and API connections.Familiarity with Agile or other project management methodologies.Knowledge of data privacy laws and HR compliance standards.Skills Required
