Job Summary (Front Office Executive) List Format :
- Serve as the first point of contact for visitors customers suppliers and internal staff.
- Greet and welcome visitors; manage visitor logbook or digital records.
- Handle incoming calls transfer calls take messages and direct to appropriate departments.
- Maintain a neat and presentable reception area ensuring it is stocked with necessary supplies.
- Manage incoming and outgoing correspondence (mail couriers packages).
- Assist with internal communications including distributing memos and notices.
- Coordinate with various departments such as HR Production and Stores as needed.
- Schedule meetings book conference rooms and assist with meeting arrangements.
- Maintain and update records related to visitors appointments and phone calls.
- Perform basic administrative tasks such as photocopying scanning filing and document preparation.
- Coordinate transport and logistics for visitors or staff when required.
- Provide backup support for general office administration such as managing office supplies and daily maintenance issues.
- Ensure front office operations comply with company policies quality standards and safety norms.
- Demonstrate good communication skills a professional attitude and the ability to multitask and prioritize.
- Use basic computer applications (MS Office email) and telephone systems efficiently.
- Prior experience in a front office receptionist or customer-facing administrative role is desirable.
