Job Summary :
The Front Desk Executive will serve as the first point of contact for visitors and clients, ensuring a professional and welcoming environment. This role also involves handling phone calls, managing appointments, providing administrative support, and maintaining the reception area efficiently.
Key Responsibilities :
- Greeting Visitors : Welcome and assist visitors and guests, creating a positive and professional first impression.
- Answering Phones : Manage incoming calls, direct them to appropriate individuals or departments, and provide information as needed.
- Reception Area Management : Keep the reception area tidy, organized, and presentable, including arranging magazines and brochures.
- Appointment Scheduling : Schedule and confirm appointments for clients, employees, and management using scheduling software or manual systems.
- Visitor Registration : Collect and record visitor information, issue visitor badges, and ensure security and access control as required.
- Mail and Package Handling : Receive, sort, and distribute incoming mail and packages, and coordinate outgoing mail and shipments.
- Customer Inquiries : Address inquiries and provide information about the organization, its services, and policies.
- Admin Support : Assist various departments with administrative tasks such as data entry, filing, and photocopying.
