Key Responsibilities
- Arranging and maintaining inventory for office stationery and pantry and washroom essentials.
- Identifying potential vendors as per company needs. Coordinating with vendors and relevant stakeholders to procure the right product / service for head office and office guesthouse.
- Daily briefing to housekeeping / office boys
- Daily monitoring of CCTV live streaming and recordings for office safety and monitor break time for employees. Investigate and validate evidence and prepare reports against employees’ disciplinary action.
- Periodic supervision of the entire office including washrooms, workstations, cabins, meeting rooms, Director and CMD Cabin. Supervision of guesthouse (twice a week) is a must.
- Monitor company assets like AC, TV, biometric machines, refrigerators, microwaves, office chairs and other furniture, etc.
- Greet visitors, clients, and new joiners, answer inquiries, and provide general support to employees when needed.
- Assist in planning and organizing employee engagement activities, other company events, meetings, and conferences. Coordinate with higher management for budget and HR and IT team for other arrangements.
- Assist in health claims management for all employees. Follow up with respective department (LIC / EPFO / ESIC) for claim process and document the same in employee personal file for future reference.
- Ensure all vendor bills are approved on time for timely payment. Duly signed approvals and tax invoice of purchases are handed over to accounts.
- Regular public relations (PR) visits with police stations
- Ensure compliance with company policies and procedures for head office and guest house)
- Maintain all utility bills (rent, electricity, maintenance, courier, stationery, pantry and washroom items).
- Maintain and renew pan India office agreements.
Requirements
