Position -Office Admin

Location - Mumbai

About the Role :

Step into a dynamic and people-facing role as an Office Admin at NES Fircroft. You’ll be the first point of contact for visitors and callers, ensuring a warm welcome and smooth experience. Beyond the front desk, you’ll support a wide range of administrative and office management tasks — from handling petty cash and vendor coordination to planning fun office events. If you're organized, proactive, and love being at the center of it all, this role is for you!

What You’ll Be Doing

Reception & Front Desk :

Greet and assist guests upon arrival, directing them to the appropriate person.

  • Answer, screen, and forward calls professionally;

escalate issues as needed.

Manage daily mail, deliveries, and front office supplies.

Maintain visitor logs and ensure office security protocols are followed.

Order and manage front office supplies, maintaining an accurate inventory. Handle NES merchandise orders and manage relationships with suppliers and vendors.

Ensure office security by adhering to safety procedures and managing access through the reception desk (e.G., monitoring the logbook and issuing visitor badges).

Administrative Support :

Keep the office space tidy, stocked, and presentable at all times.

Schedule meetings and manage calendars.

Supporting other departments with temporary admin tasks

Managing sudden courier or delivery requests

Helping with office setup for new joiners

Ordering supplies due to unexpected shortages

Updating notice boards or internal communication materials

Maintain accurate records of office expenses and petty cash.

Coordinate with vendors for logistics.

Liaise with vendors, suppliers, and internal teams for smooth operations.

Prepare client invoices for stamping and coordinate delivery.

Handle lease renewals, office renovations, and ensure Green Mark accreditation.

Act as the point of contact for DIC / TECOM / security for office-related matters.

Culture & Engagement :

Plan and organize office events (Christmas parties, fitness events, team outings).

Support the Belong Committee with ideas and execution of charity and engagement events.

Post welcome messages for new joiners on the intranet in collaboration with the TA team.

Supporting TA with Assisting in preparing welcome Kits and ID cards, Greeting and assisting walk-in candidates, Assisting with tech setup (projectors, laptops, video conferencing) for virtual interviews or presentations.

What We’re Looking For?

2–4 years of experience in a similar front office or admin role.

Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).

Strong communication and interpersonal skills.

Highly organized, detail-oriented, and able to multitask.

Graduate with basic knowledge of compliance and accounting practices.

A bubbly, quirky personality with a professional approach.
