Position Overview
The Executive Assistant will provide high-level administrative, strategic, and operational support to the Executive Director. The role requires a proactive professional who can manage confidential matters, coordinate cross-functional communication, and ensure smooth execution of key business priorities.
Key Responsibilities
1. Executive Support & Coordination
- Manage the Executive Director's calendar, appointments, and meetings with internal and external stakeholders.
- Coordinate and prepare for reviews, presentations, and management meetings.
- Draft, review, and organise correspondence, reports, and presentations.
- Maintain confidentiality and handle sensitive information with discretion.
2. Business & Project Support
Track progress of key infrastructure projects (EPC / BOT / HAM, etc.) and update the Director on milestones, risks, and deliverables.Assist in compiling MIS reports, performance dashboards, and project summaries.Liaise with project teams, consultants, and government agencies for documentation and follow-ups.3. Strategic & Operational Assistance
Support the Director in business planning, budgeting, and internal communication initiatives.Conduct background research, collect data, and prepare briefing notes for meetings.Follow up on key decisions and ensure timely execution of assigned actions.4. Communication & Liaison
Act as a point of contact between the Executive Director and senior management, clients, and government officials.Maintain professional communication and ensure alignment across departments.5. Administrative & Logistical Support
Organise travel itineraries, logistics, and accommodation for business trips.Oversee documentation, filing, and digital record management.Desired Candidate Profile
Education :
Graduate / Post-Graduate in Business Administration / Commerce / Engineering / Management or related discipline.MBA preferred (Tier I / Good Tier II )Experience :
5–10 years of relevant experience as Executive Assistant / Coordinator / Strategy Associate, preferably in Infrastructure, Construction, or EPC industry .Skills & Competencies :
Strong organisational and multitasking abilities.Excellent written and verbal communication (English & Hindi).Proficiency in MS Office (Word, Excel, PowerPoint) and documentation handling.Professional demeanour, confidentiality, and high integrity.An understanding of project management and infrastructure industry terminology will be an advantage.Key Attributes
