Key Responsibiliti
es :
Document & Process Managem
ent : Organize, maintain, and control all project documents within our online repository, ensuring they are current and accurate.Oversee version control and document numbering to guarantee integrity and prevent errors.Facilitate the distribution of documents and issue formal transmittals to stakeholders.Develop and maintain a robust archiving system for historical documents.
Collaboration & Compli
ance : Support the document review process, updating document statuses (released, superseded, rejected) as required.Collaborate with project teams to understand document requirements and resolve related issues.Ensure all documentation complies with company policies, legal regulations, and industry standards.Provide efficient access to documents through a structured filing system with designated access controls.
Project & Administrative Su
pport : Assist in preparing and tracking consultant payment certifications.Support the procurement process by preparing RFPs and conducting comparative analyses of proposals.Draft consultant contracts and Letters of Agreement(LOA).Prepare comprehensive project handover documents for clients and internal use.Manage the technical library, document registers, and all control samples for projects.
Audit & Continuous Impro
vement : Prepare and provide documentation for internal and externalaudits.Generate reports on document status and workflow efficiency for management.Provide training and support to team members on document control processes and best practices.
Qualifications & Ex
perienceA graduate degree in any discipline.3-5 years of proven ex perience in a document control or related administrative role, preferably within engineering, construction, or project management.High profici ency in MS Office Suite (Word , Excel) is essential.Experience with document management systems (e.g., Aconex, Procore, SharePoint) and software related to drawings (e.g., AutoCAD Viewer, Bluebeam) is a strong advantage.Familiarity with industry standards and compliance requirements.
