Role Overview
We are looking for a proactive and detail-oriented
Event Operations Executive
to support and manage the end-to-end execution of corporate, social, and experiential events. This role requires strong organizational skills, vendor coordination, and on-ground management to ensure events are delivered seamlessly, on time, and within budget.
Key Responsibilities
Event Planning & Coordination
Assist in creating detailed event plans, timelines, and checklists.
Coordinate with creative, production, and client servicing teams for smooth execution.
Prepare run-down schedules and ensure timely task completion.
Vendor & Logistics Management
Coordinate with vendors (venue, décor, AV, catering, logistics, etc.) to ensure timely deliverables.
Negotiate with suppliers for cost-effective solutions while maintaining quality.
Manage travel, hospitality, guest registrations, and permits / licenses.
On-Ground Event Execution
Supervise set-up, rehearsals, and event-day operations.
Act as the single point of contact for vendors and crew during the event.
Troubleshoot issues quickly to ensure smooth flow.
Financials & Reporting
Track budgets, expense sheets, and vendor payments.
Support in creating post-event reports, feedback collection, and learnings.
Client Interaction & Service
Assist senior managers in client meetings and briefings.
Ensure client requirements are met with precision and quality.
Maintain strong relationships with stakeholders for repeat business.

Hands-on problem solver with attention to detail.
Knowledge of AV, production, décor, and event logistics.
MS Office proficiency (Excel, PowerPoint, Word).
Ability to work under pressure and in fast-paced environments.
Qualifications & Experience
Graduate in Event Management, Hospitality, Mass Communication, or related field.
2–4 years
of proven experience in event operations.
Experience in managing
corporate events, conferences, exhibitions, or social events
is preferred.
Willingness to travel and work flexible hours (including weekends & late evenings).
KPIs (Key Performance Indicators)
Timely execution of events without escalations.
Vendor coordination efficiency and cost savings.
Client satisfaction & repeat business feedback.
Adherence to budgets and timelines.
On-ground execution quality and innovation.
