Job Description for Head - Compliance and MR
Location : Mumbai
Role Overview :
The Head of Compliance & Management Representative (MR) will oversee and ensure that the company adheres to all relevant regulatory, legal, quality, environmental, and safety standards. This role is critical in maintaining high operational standards, ensuring compliance with ISO standards, customer protocols driving continuous improvement, and acting as the company's liaison during external audits.
Key Responsibilities :
1. Regulatory Compliance :
o Ensure adherence to all relevant laws, regulations, and guidelines, including environmental, labor, health, and safety standards.
o Monitoring and Administration of all social Audit and security audits as per customer protocol in a timely manner.
o Stay updated on changes in regulations pertaining to labours, Statutory, customer compliance related to customer social audit and communicate implications to management.
o Collaborate with legal advisors to mitigate legal risks.(Case Basis)
2. Quality Management System (QMS) :
o Maintain and oversee the implementation of ISO 9001, ISO 14001, ISO 45001 and other relevant management systems.
o Monitor and review the effectiveness of the Quality Management System (QMS) and ensure it meets all internal and external requirements.
o Lead the internal audit process to ensure compliance with established standards.
o Implement corrective and preventive actions (CAPA) for continuous improvement.
3. Management Representative (MR) Responsibilities :
o Act as the primary point of contact for Customer Compliances, certification bodies, including managing relationships with auditors and overseeing external audits.
o Ensure compliance with customer-specific requirements, standards, and best practices.
o Represent the organization in matters related to Social and Security compliance during internal and external meetings.
4. Document Control & Reporting :
o Ensure effective document control procedures are in place and regularly reviewed to maintain accurate and up-to-date records for all compliance-related activities.
o Provide monthly / quarterly reports on compliance status, non-conformance issues, and audit results to senior management.
5. Risk Management :
o Identify and assess compliance risks within the organization and develop strategies to mitigate them.
6. Environmental & Safety Compliance :
o Ensure compliance with environmental management systems (ISO 14001) and waste management practices.
o Promote and maintain a safe working environment in compliance with OSHA and factory safety standards.
7. Supplier Compliance :
o Oversee the compliance of suppliers and with the company's standards and requirements.
o Collaborate with procurement to ensure that all suppliers meet legal and statutory standards.
8. Training & Development :
o Develop and deliver compliance training programs to employees across departments to foster a culture of compliance.
o Ensure that employees are aware of and understand the company's commitment to regulatory standards and continuous improvement.
9. Incident Management :
o Manage any compliance-related incidents, including investigations, reporting, and corrective actions.
o Act as the key liaison for external authorities during incident resolution.
Key Authorities :
1. Decision-Making Authority :
o Authority to halt production or processes if non-compliance or safety violations are detected.
o Ability to implement corrective and preventive actions as deemed necessary to ensure compliance with quality and safety standards.
o Authority to revise or implement new compliance policies and procedures.
2. Audit Authority :
o Oversee and manage internal and external audits and ensure the execution of recommendations post-audit.
o Full access to all departments, records, and personnel to perform audits or investigations related to compliance.
3. Regulatory Interaction :
o Act as the company's official representative during interactions with external regulatory authorities, auditors, and certification bodies.
4. Budgetary Oversight :
o Authority to propose and manage the compliance department's budget, including expenses for training, audits, certifications, and compliance improvements.
