IndiGo is looking for a detail-oriented and proactive HR Shared Service - Associate to join our Human Resources team. In this role, you will be the backbone of our HR operations, supporting recruitment and various shared service processes from end to end. Responsibilities
- Support Talent Acquisition (TA) and HR shared service processes comprehensively.
- Take complete responsibility for all HR documentation and backend TA processes.
- Be responsible for capturing and tracking data metrics relevant to HR operations.
- Execute the Internal Job Posting process end-to-end , including interview coordination, transfers, and onboarding.
- Coordinate with candidates for both interview scheduling and the onboarding process.
- Initiate and manage the end-to-end Background Verification process for all candidates.
- Effectively manage internal stakeholders , ensuring smooth communication and collaboration.
- Be responsible for issuing appointment letters, contract letters, and agreement letters .
- Coordinate with internal and external stakeholders for interview logistics and onboarding arrangements.
- Cultivate networks across a variety of functions and locations to enable excellence in service delivery.
- Be responsible for maintaining HR file records for new joiners, including both hard and digital copies.
- Perform general administration duties and undertake ad-hoc project work as required.
- Ensure accurate data entry into the database or HR system for maintaining precise employee records.
- Provide data for and prepare routine management information reports and documents , and handle ad-hoc report requests as needed.
- Understand and initiate workflows , and liaise with various departments regarding workflow content.
- Ensure that all aspects of the recruitment process are followed and adhere to the defined Standard Operating Procedures (SOPs).
- Ensure all standard operating procedures are continuously updated / maintained based on knowledge and understanding of processes, and manage audits to ensure 100% document compliance.
- Be responsible for admin and logistic arrangements such as flight tickets, hotel bookings, cab services, venue booking for interviews, onboarding, and other events.
- Be responsible for managing and arranging IT and admin logistic arrangements , including ID cards, laptops / desktops, seat allocation, visiting cards, data cards, name plates, etc.
- Be responsible for hiring document collection and validation as per defined SOPs.
- Ensure all escalated issues are handled in a timely manner and resolutions are clearly communicated.
- Ensure compliance with and delivery against HR Shared Services service level agreements .
Skills
Deep knowledge and hands-on experience in HR Operations .Proficiency in HR documentation management .Strong skills in data capturing and tracking for HR metrics.Excellent coordination and organizational abilities , especially for interviews and onboarding.Proven ability to manage background verification processes .Strong stakeholder management and interpersonal communication skills.Familiarity with HR systems / databases for data entry and record maintenance.Ability to prepare management information reports .Understanding of HR workflows and SOPs .Competence in managing administrative and logistical arrangements .Qualifications
Minimum Qualification : Graduation, BBA, Diploma in HR, or MBA.Experience : Minimum 1-5 years of experience in HR Operations.Skills Required
