Executive Assistant (Softbay)

About the Role
Softbay is looking for an Executive Assistant — with strong Indian accounting and office management experience to the table.
This is a hybrid role that blends financial coordination, administrative structure, and executive support. You'll manage both business and personal affairs , from handling invoices and vendor payments to keeping the day organized and projects moving forward.
We're looking for someone dependable, detail-oriented, and quietly efficient — someone who understands numbers, organization, and people.
Key Responsibilities Accounting & Financial Coordination (Primary Focus)
- Manage daily and monthly accounting activities (invoices, vendor payments, reimbursements).
- Coordinate with CA / accounting firm for GST, TDS, and statutory filings .
- Maintain proper records for bills, vendor contracts, purchase orders, and expense sheets .
- Track budgets, petty cash, and ensure timely reconciliations.
- Prepare simple MIS reports or expense summaries for the founder.
- Ensure financial data is organized and accessible for audits and reporting.
Office & Operations Management
Oversee day-to-day admin tasks, vendor coordination, and logistics.Maintain office records, agreements, and operational documentation.Support HR-related tasks (contracts, onboarding coordination, attendance tracking).Ensure smooth functioning of basic internal processes.Executive & Assistance
Manage the schedule, meetings, and communication.Draft and respond to business emails and follow-ups.Track deliverables and remind the founder / team of priorities.Handle personal tasks such as bill payments, renewals, and travel bookings.Maintain confidentiality at all times.What We're Looking For
3–6 years of experience in accounting or office administration (India-based experience required).Strong knowledge of Tally, GST, TDS, and general bookkeeping .Exposure to vendor management, invoicing, and working with accountants / consultants.Excellent organization and communication skills.Comfortable juggling multiple priorities and working independently.Tech-friendly — familiar with Excel, Google Sheets, and basic workflow tools (Slack, Notion, etc.).Professional yet approachable; someone who thrives in a founder-led setup.Why Join Softbay
