Job description

The Sr Executive, General Administration plays an essential role in supporting the organization's administrative and facility management functions. The role will assist in maintaining office operations, managing facilities and ensuring a conducive and safe work environment. This position involves collaborating with the General Administration.

Assist in day-to-day administrative tasks, including handling office supplies, equipment, and services. team and other departments to meet the organization's administrative needs.

Responsibilities :

Administrative Support :

Provide support in managing administrative processes to ensure efficient office operations.

Facility Assistance :

Support facility management tasks, including office maintenance, security, and ensuring a comfortable work environment.

Assist in coordinating facility-related projects and tasks.

Logistics arrangement :

Travel (air and ground), ticketing and accommodation.

Team Collaboration :

Collaborate with the General Administration team to ensure office and facility-related tasks are effectively managed.

Work alongside colleagues to enhance the organization's administrative efficiency.

Event Participation :

Participate in planning and coordinating company events and meetings.

Assist in event preparations and ensure they run smoothly.

Vendor Interaction :

Interact with vendors and service providers under the guidance of the team.

Assist in maintaining positive relationships with external vendors.

Safety Awareness :

Promote safety awareness and follow safety guidelines in the workplace.

Report any safety concerns or incidents to the relevant authorities.

Documentation :

Assist in maintaining accurate and up-to-date records related to administrative tasks and facility management. Processing of the invoices on a weekly basis on software.

Efficiency Support :

Identify opportunities for process improvements and contribute to enhancing the department's efficiency.

Communication :

Maintain open and effective communication with team members, colleagues, and external parties.

Reporting :

Provide regular updates on tasks and activities to the General Administration team and senior management. Generating reports monthly reports and as per requirement.

Education & Experience :

Graduation in Any stream

Knowledge of administrative tasks and procedures.

Understanding of basic facility management concepts.

Ability to work effectively as part of a team and collaborate with colleagues.

Good verbal and written communication skills.

Commitment to following safety protocols and guidelines.

Basic problem-solving skills and the ability to address administrative challenges.

Attention to detail and organization for maintaining records.

Willingness to learn and contribute to process improvements.

May require some regional travel as required
