Position Overview
Graviss Group is looking for a highly organized, proactive, and discreet Personal Assistant to the CEO . This role is ideal for someone who has previously supported CEOs,
Directors, or senior leaders in the hospitality, luxury, or service industry .
The position is office-based in Colaba (Mumbai) and requires managing a combination
of professional tasks, company-related coordination, and personal responsibilities . The
successful candidate will ensure seamless day-to-day operations, effective time management, and smooth travel and event coordination for the CEO.
Key Responsibilities
Executive & Business Support
- Manage the CEO’s calendar, scheduling, and coordination with internal and external
stakeholders.
Prepare agendas, presentations, and follow-up notes from meetings.Handle confidential correspondence, documentation, and sensitive company information.Support in planning company events, client meetings, and investor interactions.Track priorities, deadlines, and key deliverables to ensure timely execution.Travel & Logistics
Plan and manage domestic and international travel arrangements (flights, hotels, visas,ground transportation).
Coordinate both professional and personal travel schedules.Maintain an organized travel calendar and ensure smooth, cost-effective logistics.Personal Support
Manage personal appointments, errands, and household administration.Coordinate with service providers, vendors, and event organizers as needed.Assist with personal and family-related scheduling, dinners, and social gatherings.Ensure alignment and balance between personal and professional commitments.Administrative & Operational Support
Prepare expense reports, process reimbursements, and manage both business and personalinvoices.
Draft documents, presentations, and conduct research when required.Act as the CEO’s first point of contact, filtering calls, emails, and messages.Anticipate requirements and resolve potential challenges proactively.Qualifications & Skills
Bachelor’s degree preferred.Experience : 3–5 years as a Personal / Executive Assistant, ideally within the hospitalityor luxury industry .
Excellent organizational and multitasking abilities with strong attention to detail.Exceptional communication skills (verbal & written).Tech-savvy : Proficiency in Google Workspace / MS Office; comfort with scheduling andproductivity tools.
High degree of discretion, integrity, and professionalism.Ability to thrive in fast-paced environments and handle changing priorities with ease.Additional Details
