Event Operations Executive – Hotel & Venue

Our conferences and summits reach global markets across the EMEA & APAC regions where we engage with various CXO's and Business Leaders across industries in tech and non-tech spaces As an Event Operations Executive – Hotel & Venue at Exito Media Concepts Pvt Ltd, you are expected to ensure the operational efficiency of the events. You should be comfortable with global travel to support the logistics and execution of venue and hotel-related operations for our national and international events. This entry-level role is ideal for someone passionate about event management, hospitality, and operations.

Responsibilities :

• Assist in sourcing, coordinating, and finalizing hotels and venues for upcoming events.
• Manage event bookings, room blocks, banquet orders, and meeting space requirements.
• Collaborate with internal teams (content, production, and marketing) to align hotel / venue logistics with event plans.
• Coordinate venue walkthroughs, vendor inspections, and floor plan validations.
• Support the planning of F&B services, meeting room setups, signage, and guest arrangements.
• Liaise with hotel staff and event vendors to ensure smooth operations on event days.
• Help manage accommodations, transportation, and hospitality for delegates, speakers, and VIPs.
• Maintain records of contracts, negotiations, and event-related vendor communications.
• Prepare post-event reports including feedback on venue performance and vendor reliability.
