Core responsibilities :
- CEO office operations : Keep the calendar, priorities, and information flow tight; pre-read and brief the CEO ahead of every meeting.
- Communication hub : Draft, route, and track internal and external communication; close loops on behalf of the CEO; escalate only the exceptions.
- Meeting management : Schedule, set agendas, capture minutes, assign owners and due dates, and follow through to closure.
- Daily execution : Handle routine correspondence, document prep, and approvals queue; maintain an organized digital filing system.
- Market and company research : Prepare concise briefs on prospects, partners, competitors, and RFPs; include sources, key risks, and a recommendation.
- Meeting prep packs : Create one-page dossiers on attendees and organizations; include recent news, decision authority, and likely objections.
- Actionable summaries : translate long documents into decision notes with next steps and owners.
- Outreach : initiate communication with partners, investors, and strategic accounts on behalf of the company; secure meetings and keep pipelines moving.
- Relationship management : maintain a clean CRM trail; log touchpoints, commitments, and renewal / next-step dates.
- Follow-through : send recap notes within 24 hours; chase agreed actions; surface blockers early.
Required skills and experience :
4–7 years supporting CXO / Founder or similar high-tempo role.Ruthless prioritization, written clarity, and calendar discipline.Strong research ability; turns ambiguity into crisp briefs.Professional communication; can write on behalf of the CEO.Tools : calendar and email power-user, docs / spreadsheets, CRM, and a task tracker.Discretion and judgment; handles confidential material without fail.Nice to have :
Experience with partner / channel programs, RFP coordination, or investor relations.Familiarity with U.S. time zones and global travel logistics.Work style : Bias for action, closing loops, and written updates.
