Requirements
We are seeking a proactive and detail-oriented Human Resource Specialist to support our U.S. operations from our Gurgaon office. The role involves managing HR processes related to U.S. based employees and contractors, including onboarding, documentation, compliance coordination, and HR operations in alignment with U.S. labor practices.
This is a full-time, onsite role aligned with U.S. working hours.
Key Responsibilities
1. U.S. HR Operations Support
- Maintain accurate employee and contractor records in Zoho People and internal systems.
- Coordinate with U.S. HR leads on onboarding, documentation, and employee lifecycle events.
- Prepare offer letters and HR documentation in compliance with U.S. employment types (W2, C2C, 1099).
- Track timesheets, PTOs, and assist with payroll coordination for onshore resources.
2. Recruitment Coordination (U.S. Roles)
Support U.S. recruitment team in scheduling interviews, managing candidate communication, and handling pre-onboarding documentation.Ensure all onboarding documents (I-9, W-4, NDA, agreements) are properly collected and digitally filed.Coordinate background verification and compliance checks with third-party vendors.3. Compliance & Documentation
Ensure adherence to federal and state labor regulations applicable to W2 and C2C employees.Maintain up-to-date compliance records for audits and client onboarding requirements.Assist in vendor documentation and MSA / Contract tracking for staffing engagements.4. Employee Engagement & Communication
Serve as a point of contact for U.S. employees on HR-related queries and documentation needs.Coordinate virtual engagement activities, performance cycles, and policy communications for remote teams.Support HR policy updates and ensure alignment with U.S. employee experience goals.5. Payroll Coordination (U.S. Operations)
Collect, verify, and validate employee and contractor timesheets on a weekly and monthly basis.Coordinate with the U.S. Finance and HR teams to ensure accurate payroll inputs for W2, 1099, and C2C resources.Maintain records of pay rates, billing rates, and vendor agreements.Track and reconcile vendor invoices and ensure timely approvals and processing.Ensure all payroll-related documentation is compliant with U.S. tax and employment requirements.Preferred Skills & Qualifications
Bachelor’s degree in HR, Business Administration, or a related field (MBA in HR preferred).1–2 years of experience as an HR Executive / HR Coordinator / Specialist supporting international operations.Knowledge of U.S. employment documentation (W2, 1099, C2C), onboarding, and compliance processes.Hands-on experience with Zoho People, Zoho Recruit, or similar HRIS / ATS tools preferred.Excellent communication and documentation skills.Ability to manage sensitive employee information with discretion and accuracy.Benefits

Key Responsibilities : Recruitment & Onboarding
Coordinate the end-to-end hiring process including sourcing support, interview scheduling, and candidate follow-ups.Manage pre-onboarding documentation, background verification, and induction.Maintain candidate and employee data through Zoho Recruit and Zoho People. HR OperationsUpdate and maintain HRIS and personnel files with complete accuracy.Generate and manage HR letters (offer, confirmation, appraisal, experience, etc.).Support payroll and attendance inputs by maintaining accurate employee data. Employee EngagementPlan and execute engagement initiatives, surveys, and day to day activities.Address day-to-day HR-related employee queries in a timely and professional manner.Assist in internal communications and culture-building activities. Performance & Compliance SupportCoordinate performance review cycles and appraisal documentation.Support compliance with statutory labour laws under the Shops & Establishments Act, PF, and ESI.Prepare periodic HR reports and ensure audit-readiness for all employee records.
