The Program Associate will provide program operations, data management, and administrative support for the Academic Adoption Program. This includes managing tools like Zoho, Jira, and Google Sheets, supporting research, partnerships, new initiatives, the day-to-day execution of field activities, ensuring accurate program reporting, and coordinating logistics for programmatic events.
This is a multi-functional role for someone organized, tech-savvy, and passionate about improving education outcomes for underserved children.
Key Responsibilities
1. Research, Partnerships and New initiatives
- Conduct in-depth literature reviews and background research to support program design, implementation, and strategic planning.
- Identify and map potential partner organizations, institutions, and networks aligned with program objectives, including education, health, livelihood, and community engagement sectors.
- Assist in the design and development of concept notes, pilot projects, and innovative models to strengthen program impact and scalability.
- Support the creation of program reports, success stories, proposals, case studies, and donor presentations, ensuring data-backed narratives.
- Maintain organized documentation of program strategy, field activities, implementation models, learnings, and best practices for internal learning and external dissemination.
2. Donor Management & Volunteer Management
Maintain updated and accurate records of donor-supported children, including child profiles, academic progress, and individual narratives.Coordinate with field teams to gather timely and relevant child-specific data (academic, extracurricular, personal milestones) for donor reporting.Liaise with the communications and donor engagement teams to co-develop compelling child profiles, photos, letters, and impact stories that reflect program outcomes.Support planning and facilitation of donor interactions, such as virtual / in-person donor-child meetings or community visits.Engage volunteers meaningfully across various program interventions, such as academic mentoring, life skills sessions, career guidance, exposure visits, creative workshops, and community events, ensuring alignment with program needs and volunteer interests.3. Program Operations
Assist in the end-to-end planning and implementation of program activities, ensuring alignment with defined goals, timelines, and budgets.Coordinate with field teams for smooth execution of student group meetings, parent orientations, career fairs, volunteer-led sessions, and capacity-building workshops.Manage operational logistics, including booking venues, arranging transportation, printing materials, and managing attendance sheets or resource kits.Track implementation progress and maintain records of field activities, program milestones, beneficiary engagement, and feedback received.Ensure timely communication and follow-ups with internal teams and stakeholders4. Data Management & Reporting
Manage program data using tools such as Zoho, Jira, and Google SheetsCollect, clean, organize, and analyze data from the field to track student outcomes, drop-out rates, school enrollments, and attendance, etcDevelop periodic program reports for internal use, learnings, and donor reportingEnsure data accuracy, timeliness, and integrity across systemsProvide data-driven insights and summaries to inform program strategy, course corrections, and decision-making.Qualifications & Experience
Education :
Any graduate / Bachelor's degree in Social Work, Computer Applications, CommerceExperience :
2–4 years of relevant experience in data management, program operations, or education / livelihood-related NGOs or CSR programsHands-on experience working with Google Sheets, Excel, and MIS platforms (Zoho, Jira preferred)Familiarity with donor reporting, budgeting, or grant documentation is a plusSkills & Competencies
Strong organizational skills with attention to detail and the ability to multitaskProficient in MS Office (Word, Excel, PowerPoint), Google Workspace
