We are seeking a detail-oriented and process-driven Master Data Maintenance Executive to support the organization’s finance, operations, and project management functions. This role will be responsible for creating, validating, and maintaining master data records across projects, contracts, customers, and billability to ensure accuracy, compliance, and consistency across all business systems.
The position is crucial to ensuring the integrity of data that drives financial reporting, billing, project delivery, and client relationship management.
Key Responsibilities
Master Data Management
Create, update, and maintain master data records for projects, contracts, customers, employees, and billability setups in the ERP / finance system.
Ensure proper mapping between customers, contracts, and projects for accurate billing and revenue recognition.
Maintain organizational hierarchies, project codes, billing schedules, and contract attributes.
Regularly review data for accuracy, completeness, and compliance with internal policies.
Data Governance & Quality
Implement and follow data governance standards to ensure consistency across systems.
Conduct periodic audits and reconciliations of master data against source documentation (contracts, client onboarding forms, project charters).
Identify and resolve data discrepancies proactively in collaboration with finance, sales, and operations teams.
Support to Finance & Project Management
Set up and maintain billability rules, rates, and employee project allocations to enable accurate invoicing and time tracking.
Support the finance team during month-end and year-end closing by ensuring master data correctness.
Provide timely updates to project and contract master data to support billing cycles and compliance reporting.
Cross-Functional Collaboration
Work closely with sales, legal, finance, HR, and project management offices to gather inputs for master data creation.
Ensure smooth onboarding of new clients, projects, and contracts into ERP / CRM systems.
Support audits and compliance checks by providing master data reports and documentation.
Continuous Improvement
Monitor and suggest improvements to master data processes to improve efficiency and reduce errors.
Contribute to ERP / CRM enhancement projects and support system testing for new functionalities related to master data.
Stay updated on industry best practices for data governance and professional services billing models.
Required Qualifications
Bachelor’s degree in Commerce, Finance, Business Administration, or Information Systems .
1 - 2 years of experience in master data management, finance operations, or ERP support , preferably in a professional services or project-based organization.
Strong working knowledge of ERP / CRM systems (e.g., SAP, Oracle NetSuite, Microsoft Dynamics, Deltek, Odoo, etc.).
Familiarity with project accounting, billing processes, and customer contract management .
Skills & Competencies
Excellent attention to detail and data accuracy.
Strong analytical and problem-solving skills.
Ability to work cross-functionally and manage multiple requests simultaneously.
Good understanding of tax, compliance, and audit requirements for contracts and customer records.
Proficiency in MS Excel / Google Sheets for data validation and reporting.
Effective communication skills to liaise with business stakeholders.
Key Performance Indicators (KPIs)
Accuracy and timeliness of master data creation and updates.
Reduction in billing or project setup errors due to master data issues.
Compliance with internal policies and audit requirements.
Responsiveness to business team requests for data maintenance.
Contribution to process improvements in data governance.
