Purpose of the role
HRMS (Human Resource Management System) Manager is responsible for overseeing, implementing, and maintaining the organization’s HR technology systems that manage employee data, payroll, recruitment, performance, and other HR processes. Their role bridges HR, IT, and business operations.
Key Responsibilities and accountabilities of the Role :
1) HRMS Implementation & Administration
Configure HRMS modules (Core HR, Payroll, Talent Acquisition, Learning, Performance, etc.).
Customize workflows, approval hierarchies, and role-based access.
Integrate with other systems (ERP, Finance, Time & Attendance, CRM, etc.).
Ensure compliance with statutory / legal requirements.
Oversee the configuration, implementation, maintenance, and upgrades of the HRMS.
Ensure the system supports HR processes (payroll, benefits, recruitment, performance, learning, etc.). Maintain data integrity, security, and compliance within the system.
2) Process Optimization & Automation
Analyze HR processes and recommend automation through the HRMS.
Streamline workflows to reduce manual intervention and improve efficiency.
Ensure the system aligns with organizational policies and compliance requirements.
3) Data Migration
Collect, cleanse, and validate employee master data.
Map legacy system data to new HRMS fields.
Conduct trial migration and reconciliation.
Ensure data accuracy and consistency.
4) Training & Change Management
Develop training materials, user manuals, and e-learning guides.
Conduct training sessions for HR staff, managers, and employees.
Communicate benefits and process changes to drive adoption.
Address resistance and manage cultural change.
Collect feedback from end users and optimize system.
Conduct post-implementation review to capture lessons learned.
5) Data Management & Reporting
Collect, validate, and maintain employee data from HRMS and other systems.
Prepare regular HR reports (headcount, turnover, absenteeism, recruitment pipeline, etc.).
Ensure accuracy and integrity of HR data.
Support HR leaders in strategic workforce planning.
Provide data-driven insights to improve hiring, retention, engagement, and performance.
Assist in compensation analysis, pay benchmarking, and budget forecasting.
Education & Experience :
MBA from IIM
1 to 3 years in HRMS Implementation.
Good Arithmetical & Reasoning Ability. Able to communicate well, Enthusiastic & System knowledge.
HRMS Platforms : Deep understanding of systems like SAP SuccessFactors, Oracle HCM, Workday, ADP, BambooHR, or similar. Database Management : Knowledge of SQL, data modeling, and HR data structures. Reporting & Analytics : Ability to generate HR reports, dashboards, and insights using BI tools (Power BI, Tableau).
System Integration : Understanding how HRMS integrates with payroll, ERP, and other enterprise systems. System Implementation & Upgrades : Skills in system configuration, testing, and deployment.
