POSITION GOALS
- To provide comprehensive management of services covering all facility services to JLL, with a focus on continuous improvement.
- To achieve financial and other targets established by both the Senior Facilities Manager and Assistant Facilities Manager.
- Achievement of the Key Performance Indicators and Service Level Agreement targets.
- Sets stretch targets for team to achieve maximum team performance
- Is able to make difficult decisions and resolve problems or improve operations.
- Actively searches out opportunities to achieve best results
- Promotes open, constructive and collaborative relations with superiors, subordinates, peers and clients.
- Gains respect of JLL people, and where appropriate, with the broader business community.
Duties And Responsibilities
Ownership of the day-to-day administration, including reports generation of the stocks tracker.Provide assistance to the AFM & Campus manager in managing all IFM Soft services, administrative functions, Housekeeping services and facility services and any other administrative functions as deemed by JLL.Developing and implementing procedures and performance measures to ensure simplification and accuracy of work methods and reliability of FMEnsuring an adequate supply of consumables / materials and service for the proper operation of services and enter into supply and service contracts as approved by the clientMaintain appropriate stock levels of all consumables to ensure smooth operations & escalate in time to achieve availability of stocks.Vendor invoices processing aligned with JLL finance process.Statutory compliance check of all vendor invoices.Routinely Inspect all services to ensure performance measures are being maintainedSet stretch targets for self to achieve maximum team performanceReporting
Contribute to the Weekly FM Meeting MinutesContribute to the Monthly Management Report to JLL and other reports as requiredOthers
Participate in Emergency Evacuation procedures including crisis management and business continuity.Manage all Health and Safety issues and actively participate in Health and Safety reviewsEMPLOYEE SPECIFICATIONS
Experience in Facilities Management is required.Strong Customer Service focusExcellent people skills and ability to interact with a wide range of client staff and demandsKnowledge of Occupational Safety requirementsStrong PC literacy and proven ability to manage daily activities using various systems.Demonstrated experience with continuous improvement initiatives highly desirableDemonstrated experience with client reporting and preparation of reports required.Graduate in any discipline3 – 5 years experience in facilities managementTertiary qualifications in hotel management / building management and / or business desirableProven ability to function effectively as part of a teamProven ability to initiate and follow through with improvement initiativesKEY PERFORMANCE MEASURES
