K ey Responsibilities
- Oversee end-to-end fleet management for Marketing, including vehicle allocation, maintenance schedules, compliance, and usage optimization
- Implement processes for fleet performance tracking and cost control, ensuring maximum availability and operational readiness
- Coordinate with internal teams and external vendors for timely repair, servicing, and documentation
- Identify, onboard, evaluate, and manage vendors and service providers related to fleet, logistics, and marketing support operations
- Negotiate terms and contracts to maximize value and service levels while maintaining compliance with company policies
- Track vendor performance - conduct periodic reviews for quality, timely delivery, and adherence to agreements
- Manage the department's financial processes related to fleet and vendor activities, including invoice processing, budget tracking, and cost analysis
- Ensure timely submission of expenses, reconciliation and reporting for audit and compliance purposes
- Support the budgeting and forecasting cycles by providing accurate operations data and insights
- Develop and maintain dashboards / reports summarizing key operational, financial, and fleet management metrics for the department head
- Regularly update and ensure accuracy of master data related to fleet, vendors, and operational expenses
- Analyze data, identify trends, and generate actionable insights to drive continuous improvements in departmental operations
- Provide comprehensive administrative and operational support to the department head, including data collation, report preparation, and process improvements
Ideal Candidate
Bachelor's degree in Business Administration, Operations, Supply Chain, or a related fieldMinimum 4 years of relevant experience in MIS, operations management or fleet administration, preferably supporting a marketing or field teamProven expertise in managing vendors and financial processes, with strong negotiation skillsStrong analytical capabilities; proficiency with Google Sheets (pivot tables, formulas), and data visualization / reporting tools (e.g., Looker Studio, Power BI) is a plusMeticulous attention to detail and exceptional organizational skillsStrong written and verbal communication abilities, with the confidence to engage internal stakeholders and outward-facing vendorsAbility to manage multiple priorities in a fast-paced environment, proactively solving problems and driving improvementsSkills Required
