Job Description – Manager-I – Admin at Gurgaon
Position Overview
Responsible for day-to-day general facility operations, housekeeping, engineering support, café services, employee transport, vendor management, and compliance. Physical security, access control and CCTV are excluded from this role.-
Key Responsibilities
- General Facility Management
- Manage daily operations of the facility to ensure a safe, efficient, and well-maintained environment.
- Coordinate maintenance and upkeeping of all office floors, meeting rooms, common areas, and building infrastructure.
- Oversee AMC renewals, breakdown maintenance, preventive maintenance schedules, and vendor SLAs.
- Housekeeping & Soft Services
- Oversee housekeeping operations to maintain high hygiene and cleanliness standards.
- Ensure adherence to checklists, shift rosters, deep cleaning schedules, consumables replenishment, and service quality parameters.
- Manage pest control operations and ensure defined intervals and compliance.
- Café / Pantry Operations
- Supervise café & pantry management, including food service quality, hygiene audits, stock management, and vendor adherence.
- Ensure smooth operations during peak hours, events, and employee engagement activities.
- Engineering & Critical Equipment Management
- Oversee operations and maintenance of critical equipment including :
- Electrical Systems
- PAC (Precision Air Conditioning)
- UPS Systems
- WLD (Water Leak Detection)
- Rodent Repellent Systems
- Gas Suppression Systems
- Ensure preventive maintenance and troubleshooting through OEMs / AMCs.
- Maintain equipment health reports and escalations for breakdowns.
- 5. Employee Transport Management
- Manage end-to-end employee transportation operations, routing, shift movement, and schedule management.
- Coordinate with transport vendors for compliance, billing, deployment of vehicles, driver conduct, and safety guidelines.
- Monitor TATs, emergency support, and adherence to women employee night-shift norms.
- Vendor Management
- Manage all facility-related vendors including housekeeping, pest control, café, engineering, transport, and other service providers.
- Conduct regular vendor meetings, performance reviews, SLA adherence checks, and operational improvements.
- Ensure cost control, contract renewals, and service benchmarking.
- Audit & Compliance
- Ensure site compliance with statutory norms, facility audits, ISO standards (if applicable), fire and safety norms, and workplace policies.
- Conduct internal audits for housekeeping, pantry, engineering, and transport services.
- Maintain documentation for audits, compliance records, and monthly MIS.
- Budget & Reporting
- Support administrative budgeting, cost optimization, invoice verification, and tracking of operational expenses.
- Prepare daily / weekly / monthly reports on facility operations, vendor performance, and compliance.
- Stakeholder Management
- Work closely with HR, IT, Security, and Leadership teams to support site operations.
- Address employee concerns related to facilities and service delivery, ensuring high satisfaction levels.
Required Qualifications & Skills
Bachelor’s degree; preferred specialization in Facility Management, Hospitality, or Business Administration.5–8 years of experience in Facility / Admin Management, preferably in ITES, BPO, or corporate environments.Strong knowledge of engineering systems, housekeeping operations and transport administration.Excellent vendor negotiation and contract management skills.Strong communication, team management, and problem-solving abilities.Ability to manage a 24×7 facility with shift coverage as required.Interested candidates can share CV to farzeen.baig@foundever.com
