Location : New Delhi (On-Site)

Job Summary :

We are seeking a highly experienced and strategic Senior Admin Manager to oversee and optimize all daily administrative and office operations for a service-based organization. This full-time, on-site role in New Delhi requires a leader with demonstrated expertise in managing budgets, supervising administrative staff, coordinating complex facility management, and ensuring rigorous compliance with organizational and safety standards. The Manager will be instrumental in analyzing and improving administrative systems to enhance overall organizational efficiency.

Job Description :

Administrative Leadership and Staff Management :

  • Oversee and manage all end-to-end administrative functions and complex office operations, ensuring seamless daily service delivery.
  • Supervise, train, and formally evaluate administrative staff, providing clear direction, delegating tasks effectively, and ensuring all departmental deadlines and quality standards are consistently met.
  • Foster effective communication channels with team members and internal stakeholders to align administrative support with core business objectives.
  • Actively analyze current administrative systems and processes, driving continuous improvement and efficiency enhancements across the department.

Budgeting, Procurement, and Financial Control :

  • Manage departmental budgeting and financial planning, ensuring optimal allocation of resources and strict cost control.
  • Own and manage the entire office supplies and procurement processes, negotiating favorable terms with suppliers and maintaining optimal inventory levels.
  • Review, track, and propose adjustments to administrative spending, ensuring financial plans are adhered to and providing analytical reports to management.
  • Facilities Management and Vendor Coordination :

  • Coordinate comprehensive facility management, including managing office maintenance schedules, necessary repairs, and all critical service contracts (e.g., security, housekeeping, utilities).
  • Act as the primary point of contact and liaise effectively with external vendors, service providers, and building management to ensure high-quality and reliable infrastructure support.
  • Plan and seamlessly coordinate company events, internal meetings, and off-site conferences, managing logistics and vendor execution.
  • Compliance and Records Management :

  • Ensure absolute compliance with all organizational policies, legal requirements, and health and safety regulations across all office premises and administrative processes.
  • Develop, maintain, and manage highly organized filing systems, databases, and records (both physical and digital) to ensure data integrity and audit readiness.
  • Required Skills & Expertise :

  • Administrative Management : Proven experience in overseeing and managing all administrative functions and office operations in a service-based environment.
  • Staff Supervision : Demonstrated ability to supervise, train, and evaluate administrative staff, including effective task delegation and deadline management.
  • Financial Oversight : Experience in budgeting, financial planning, and managing complex procurement processes.
  • Facilities & Vendors : Strong experience in coordinating facility management (maintenance, repairs, contracts) and liaising with vendors and building management.
  • Compliance : Expertise in ensuring adherence to organizational policies, legal requirements, and health and safety regulations.
  • Systems : Proficiency in maintaining and managing filing systems, databases, and records (physical and digital).
  • Communication : Strong interpersonal and communication skills for stakeholder engagement and team motivation.
