The candidate should have at least 7 – 10 years of total experience in Administration and Facilities in large or mid-size organizations. The preferred industry environment where the candidate has served the most would be in IT or ITES.
Responsibilities :
- Responsible for services like Security, Housekeeping, Pest Control, Cafeteria, Transport, Horticulture, Gym & Facilities management including UPS, Air Conditioning, Fire & Safety systems, Electrical and DG, BMS etc.
- Space planning and allocation
- Development and implementation of Infrastructure and Facilities management strategy, in sync with the business strategy of the company
- Develop goals, objectives and operating procedures of the department and ensure they are aligned with the business objectives and goals of the organization
- Manage real estate initiatives and projects by providing effective solutions that support changing business plans and operations
- Responsible for security of both premises and people. Formulate policies and implement them - Fire, Life & Safety
- Responsible to ensure any time audit readiness in the perspective of Admin & Facilities
- Responsible for financial planning, cost management and delivery of all projects and services within budget
- Participates in the planning, designing, construction and maintenance of facilities at the unit
- Anticipates new and improved trends in the facility management and develops workplace strategies that adapt to the changing needs of the business.
- Coordinate and Liaise with HR / Finance and other support departments
- Responsible for waste management & scrap disposal process as per set guidelines by Government
- Responsible for the F&B arrangements related to client visits, audits, internal events in close coordination with employee engagement team
- Budget v / s Expenses tracking and reporting on a monthly basis with deviation report
- Proactively communicates with management and develops solutions that align with the business needs
- Develops and maintain relations with Vendors / Service Providers
- Handling petty cash / local purchases & local vendor management for services / deliveries
- Preparation of monthly reports on Tasks completed and WIP's activities, Time sheets & monthly expenses reports
- Acquainted with STPI / SEZ, Customs & Central Excise procedures, Shops & Establishment, Municipal, Police & local Governance compliance etc.
- Organizing company events like Team parties, Quarterly Parties & Annual Parties
- Forecasting & implementing qty / yearly budgets related to Admin & Facilities
- Responsible for processing bills on time
