Key Responsibilities
1. Office Administration & Facility Management
- Oversee daily office operations to ensure a smooth and efficient workplace.
- Manage upkeep of office infrastructure, including utilities, housekeeping, security, and maintenance.
- Coordinate with building management and vendors for facility-related issues and compliance.
- Ensure health, safety, and environmental standards are met.
2. Vendor & Procurement Management
Handle vendor sourcing, negotiation, onboarding, and payments.Maintain records of contracts, AMCs, and service-level agreements.Manage procurement of office supplies, pantry stock, and stationery.Track and control budgets related to facilities and admin expenses.3. Inventory & Asset Management
Maintain inventory of IT equipment, furniture, and other office assets.Implement efficient tracking systems for asset issuance, movement, and maintenance.4. Housekeeping & Maintenance
Supervise housekeeping staff and ensure cleanliness and hygiene across all office areas.Conduct regular audits of workspace standards and housekeeping checklists.5. HR Support & Employee Experience
Assist HR in onboarding and offboarding processes (ID cards, seating, asset allocation, access setup).Help organize internal events, celebrations, and employee engagement activities.6. Billing & Documentation
Process and track all admin and facility-related invoices.Maintain documentation for compliance, vendor agreements, and statutory records.Support finance with timely reconciliation and reporting.Requirements
Bachelor's degree in Business Administration, Management, or related field.3 – 6 years of experience in office administration, facilities and operations management.Strong organizational and multitasking skills.Excellent communication and negotiation abilities.High level of ownership, integrity, and attention to detail.Skills Required
