Role Overview

The Onboarding Specialist is the first point of contact for CXOs, Partners, and Delegates participating in Flexi Roundtables.

Your role is to ensure every invited leader experiences seamless onboarding , clear communication , zero-friction coordination , and a premium delight journey from the moment they receive the invite till their post-event follow-up.

This role is ideal for someone who thrives in high-stake environments, understands senior-leader etiquette, and can operate with extreme ownership.

Key Responsibilities 1. CXO & Leader Onboarding

  • Manage end-to-end onboarding for invited CXOs and senior delegates
  • Conduct welcome calls, explain agenda, venue, flow, and experience
  • Coordinate special requirements (dietary, travel support, early access, etc.)

2. Communication Excellence

  • Draft crisp, professional WhatsApp updates, emails, reminders
  • Share event briefs, speaker notes, and arrival instructions
  • Ensure leaders receive timely follow-ups without chasing
  • 3. Partner & Sponsor Coordination

  • Align with partners (AWS, Sprinto, Sonatype, etc.) on leader lists & confirmation
  • Manage onboarding for their CXO nominations
  • Track status, share updates with internal teams daily
  • 4. Operational Readiness

  • Maintain updated onboarding trackers
  • Work with event operations team on seating, registration, badges
  • Flag risks early (dropouts, delays, special requirements)
  • 5. Experience Assurance

  • Ensure every leader’s first touchpoint feels premium
  • Offer concierge-style assistance pre-event
  • Coordinate post-event thank-you notes and social media tagging
  • Who You Are

  • 1–4 years experience in client servicing, event coordination, CXO relations, customer success, or operations
  • Strong communication skills (English mandatory, Hindi / Telugu good to have)
  • Comfortable working with senior leaders and top brands
  • High sense of ownership — can handle pressure, urgency, and multiple tracks
  • Obsessed with structure, accuracy, and presentation
