Love Letter is looking for a high-functioning, detail-obsessed executor to join the team as an Operations & Merchandising Coordinator.
This role is perfect for someone who enjoys structure, organization, numbers, and the day-to-day rhythm of fashion operations and ensuring flawless execution across all moving parts.
You will work directly with the founder, maintain accurate stock, manage production timelines, and keep operations running smoothly across sales channels. This is an execution-led role, ideal for someone who thrives in fast-paced environments and takes pride in clean processes, accurate data, and timely deliveries.

Key Responsibilities
Order & Fulfilment Management
Process daily Shopify orders
Coordinate with packing team for dispatch
Ensure QC for each order before shipment
Track and reduce NDR / RTO
Maintain 24–48 hr dispatch turnaround time
Ensure packaging materials are stocked
Inventory & Merchandising Admin
Update stock on Shopify after production / dispatch
Create / maintain product listings : SKUs, sizes, materials, tags
Upload new products (photos, descriptions, variants)
Run weekly stock reconciliation and highlight low-stock SKUs
Maintain master inventory sheet + vendor sheets
Raise purchase orders
Launch Coordination
Prepare product upload sheets
Coordinate photoshoots : sample availability, labeling, missing pieces
Upload new capsules on time
Cross-check variant accuracy, pricing, SEO tags
Trade Show Operations
Track sample production for international shows
Prep labeling, barcodes, product sheet bundles
Coordinate shipping of samples (packaging, paperwork, courier)
Create post-show order sheets + follow-ups
Maintain wholesale line sheets (admin layer only)
Customer Experience Support
Handle escalations (main CX is handled elsewhere if needed)
Resolve shipping delays, damage cases, returns admin
General Execution & Admin
Maintain vendor credit sheets
Prepare basic Excel reports (inventory, order status, production status)
Keep all files updated and organized
Operate as the “execution engine” — moving pieces forward daily
Skills & Experience
1–3 years of experience in a similar role
Highly organized, detail-oriented, and comfortable juggling multiple collections and vendors.
Strong operational discipline with the ability to manage multiple moving parts without dropping details.
High accountability - Someone who fully owns execution end-to-end once instructed and doesn’t need reminders for routine tasks.
Comfortable in a fast-moving, unstructured environment where they can build structure by themselves adapt quickly as tasks shift.
Basic Excel skills - Should be able to maintain clean, accurate spreadsheets.
Strong attention to detail - Can catch errors in stock, SKU mismatches, wrong variants, wrong prices.
Comfortable with Shopify.
Preferred Background
Prior experience in D2C or e-commerce ops is a big plus.
Worked at a small brand, startup, or fashion / jewelry label.
Familiarity with Shopify or similar e-commerce tools preferred.
