Summary

We are seeking a highly skilled and experienced Administrative Support professional to join our team as a Reporting Manager, supporting the Chairperson and Vice Chairperson. The ideal candidate will have a strong background in administrative support, excellent communication skills, and the ability to maintain confidentiality. This role requires a high level of discretion, integrity, and professionalism, with a focus on providing exceptional support to senior leadership.

Responsibilities

• Manage the CP's and VCP's calendar, scheduling appointments and ensuring timely reminders
• Handle all incoming and outgoing correspondence on behalf of the CP and VCP
• Plan car and chauffeur services for the CP and VCP
• Organize travel arrangements, including flight bookings and accommodations
• Ensure timely payment of utility bills and track credit card statements
• Draft, review, and respond to emails and letters as directed
• Arrange and coordinate internal and external meetings, conferences, and video calls
• Prepare and circulate meeting agendas, minutes, and relevant documents
• Act as the point of contact between the CP and VCP and internal / external stakeholders
• Prepare daily, weekly, and monthly dashboards, reports, and presentations
• Track and follow up on key action items discussed during meetings
• Maintain and organize confidential files, records, and documents
• Monitor task progress and update the CP and VCP accordingly
• Assist in approvals and internal communications as directed by the CP and VCP
• Handle special projects and other duties as assigned by the CP and VCP

Requirements : Bachelor's degree Minimum 10 years of experience in a similar role supporting senior leadership Excellent written and verbal communication skills High level of discretion and integrity when dealing with confidential information Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with project tracking tools is a plus Strong organizational, multitasking, and time-management abilities Professional interaction with a proactive and problem-solving mindset Ability to work independently and prioritize workload Strong interpersonal skills and the ability to liaise effectively with all levels of staff and external parties
