Summary
We are seeking a highly skilled and experienced Administrative Support professional to join our team as a Reporting Manager, supporting the Chairperson and Vice Chairperson. The ideal candidate will have a strong background in administrative support, excellent communication skills, and the ability to maintain confidentiality. This role requires a high level of discretion, integrity, and professionalism, with a focus on providing exceptional support to senior leadership.
Responsibilities
- Manage the CP's and VCP's calendar, scheduling appointments and ensuring timely reminders
- Handle all incoming and outgoing correspondence on behalf of the CP and VCP
- Plan car and chauffeur services for the CP and VCP
- Organize travel arrangements, including flight bookings and accommodations
- Ensure timely payment of utility bills and track credit card statements
- Draft, review, and respond to emails and letters as directed
- Arrange and coordinate internal and external meetings, conferences, and video calls
- Prepare and circulate meeting agendas, minutes, and relevant documents
- Act as the point of contact between the CP and VCP and internal / external stakeholders
- Prepare daily, weekly, and monthly dashboards, reports, and presentations
- Track and follow up on key action items discussed during meetings
- Maintain and organize confidential files, records, and documents
- Monitor task progress and update the CP and VCP accordingly
- Assist in approvals and internal communications as directed by the CP and VCP
- Handle special projects and other duties as assigned by the CP and VCP
