Job Purpose :
To ensure the efficient and effective planning of audits across the aviation organization, the Audit Planning Lead will be responsible for developing comprehensive audit plans , coordinating activities, and collaborating with stakeholders to ensure the successful execution of audits across various operational areas.
Key Accountabilities :
1. Strategic Audit Planning
- Work closely with the Lead - QMS Auditing to develop a strategic audit planning framework that aligns with organizational goals and regulatory requirements .
- Develop the annual audit plan , coordinating with the Lead - QMS Auditing to define the frequency, scope, and objectives of various audit types.
- Prepare regular audit progress reports , highlighting resource allocation, updates, and timelines.
2. Audit Scope & Objectives Definition
Define the scope and objectives of each audit, collaborating with the audit team and relevant stakeholders.Ensure the audit plan covers all relevant operational areas , including stations, airports, corporate functions, safety protocols, etc.Regularly review findings from previous audits to identify recurring issues or areas requiring attention in the current audit cycle.3. Monitoring & Coordination
Monitor the progress of ongoing audits, ensuring adherence to timelines and identifying challenges or delays.Liaise with department heads and operational teams to communicate audit schedules, objectives, and expectations.Establish clear criteria and performance indicators for assessing compliance and process effectiveness.4. Continuous Improvement & Stakeholder Collaboration
Lead teams in analyzing historical audit data , industry trends, and emerging issues to enhance audit effectiveness.Gather feedback from auditors and stakeholders to improve the audit planning process and increase its efficiency.Collaborate with external accreditation agencies like IOSA, ISAGO, IFQP, and ISO ; be the single point of contact for communication on behalf of the VP-Group QMS .5. Team Leadership & Development
Lead and manage the audit planning team , providing clear direction, prioritizing tasks, and fostering a positive team environment .Ensure that auditors possess the necessary competencies and receive adequate training .Assess the performance of direct reports, ensuring effective collaboration and accountability in meeting KPIs / SLAs.Key Performance Indicators (KPIs) :
On-time completion of audit planning and execution.Effective coordination with stakeholders and external accreditation agencies.Accuracy and thoroughness of audit scope, objectives, and documentation.Audit process efficiency and continuous improvement .Audit compliance with internal standards and regulatory requirements.Team performance and collaboration effectiveness .Skills & Qualities Required :
Expertise in Quality Management Systems (QMS) Auditing and Audit Planning .Strong leadership and team management skills.Aviation industry knowledge and experience with aviation regulations .Data analysis and the ability to derive actionable insights from historical audit data and trends.Stakeholder management skills, particularly in liaising with accreditation agencies.Excellent communication and presentation skills .Problem-solving and critical thinking for identifying audit challenges and areas of improvement.Educational and Experience Requirements :
Minimum Education :
Bachelor's degree or equivalent qualification in an aviation domain .Experience :
10+ years of experience in Quality Management Systems Auditing and Audit Planning within the aviation industry.Extensive aviation expertise , including familiarity with aviation regulations, standards, and accreditation processes.Key Interfaces :
