Position Overview
We are seeking an experienced and detail-oriented
Manager – Payroll & People Operations
to lead end-to-end payroll, compliance, and HR digitization initiatives. This role involves managing payroll accuracy, statutory adherence, employee data systems, and day-to-day people operations across onboarding, HRIS, and exits. Key Responsibilities
1) Payroll Processing — End-to-End
Prepare and run monthly payroll for employees (on-roll and contractual) — salary calculations, attendance / OT / shift payout, arrears, incentive payouts, reimbursements, and variable pay inputs.
Maintain and operate payroll on HRIS / payroll platforms (e.g., greytHR, ADP, Ramco, SAP, Zoho Payroll — specify client's system during interview).
Ensure accurate payroll journals and month-end GL entries; coordinate with Finance / Accounts for payroll accruals and reversals.
Process off-cycle payments, advances, and manual interventions while maintaining audit trail.
2) Statutory Compliance & Filings
Ensure timely statutory compliance : PF (EPFO), ESI (where applicable), Professional Tax, TDS (salary), Form 16 / Form 12BA issuance, and other state-level requirements.
Prepare schedules, reconciliations and statutory returns; coordinate deposits and remittances with banks.
Maintain knowledge of statutory thresholds (PF / ESI applicability, TDS rates, etc.) and implement changes in payroll and policies accordingly.
3) Employee Lifecycle — People Operations
Manage onboarding administration (offer issuance coordination with TA, new joiner documentation, payroll setup, benefits enrollment).
Oversee exits : final settlements, full and final calculations, gratuity calculation & discharge, relieving letters and experience certificates.
Leave & attendance administration : manage policy implementation, LWP, encashment rules, statutory leaves & compliance.
4) Reconciliations, Audits & Controls
Conduct monthly reconciliations : payroll vs. bank, payroll vs. general ledger, statutory ledger reconciliations (PF / ESI / TDS).
Prepare documentation and coordinate with internal / external auditors, and support payroll audits.
Build, track and own payroll SOPs, standard audit checkpoints and internal control matrix.
5) Vendor & Bank Management
Manage payroll vendors (if outsourced partially) — SLAs, data handoff, security & confidentiality.
Liaise with banks for salary credit, NEFT / RTGS files, and employee banking queries.
Manage relationships with statutory bodies and consultants (labor law advisors, tax consultants).
6) Policy, Payroll Design & Advisory
Support compensation structuring : create salary breakups and CTC modeling (basic / HRA / allowances / perks), advise on PF-able / Non-PFable components, tax optimization and payroll cost forecasting.
Implement and maintain payroll-related policies (salary advance, travel & conveyance reimbursements, overtime rules, payroll cut-offs).
7) HRIS & Data Management
Maintain HRIS & payroll master data accuracy (bank details, PAN, UAN / Aadhaar mappings, joining dates, PF numbers).
Produce regular MIS & dashboards : headcount, cost-to-company summary, payroll cost variance, statutory liability tracker, attrition metrics tied to payroll.
Drive automation for recurring payroll tasks, implementations and improvements.
8) People Leadership & Stakeholder Management
Provide guidance to HR business partners and managers on payroll questions and people operations escalations.
Act as the single point of contact for payroll queries from employees, managers, and external stakeholders.
Qualifications & Experience (must-have)
5–8 years of total experience with minimum 3+ years directly handling Indian payroll end-to-end for a medium / large payroll (500+ headcount desirable but 200+ with complex payroll also acceptable).
Strong practical knowledge of PF, ESI, Professional Tax, TDS on salary, gratuity, maternity benefits, and other statutory compliances in India.
Hands-on experience with at least one payroll / HRIS system.
Expert Excel skills and experience building payroll reconciliation templates, pivot reports, VLOOKUP / XLOOKUP and formula-driven models.
Prior exposure to salary structure design, CTC breakup, tax computation and final settlement calculations.
Excellent attention to detail, confidentiality, and ability to meet month-end deadlines under pressure.
Strong stakeholder skills : can negotiate with vendors, explain payroll mechanics to non-finance managers, and coordinate across functions.
Degree in Commerce / HR / MBA (HR / Finance) preferred; certifications in payroll or labor law are a plus.
Nice-to-have / Preferable
Experience working with senior living, hospitality, or multi-site operations (shift payrolls, hourly workers).
Exposure to payroll for international hires / expatriates or cross-border payroll coordination.
Experience implementing payroll process automation, APIs for salary credit or HRIS integrations.
Prior people-operations responsibilities : benefits administration, reward & recognition, HR policies.

Month-end payroll closure SLA — accurate payroll processed within agreed timelines (target : payroll closed within X working days of month end; client to define exact SLA).
Payroll accuracy :
Timely & reconciled payroll GL posting and bank reconciliation with zero variance.
Employee satisfaction on payroll queries (TAT
Successful support for audits with full documentation & minimal exceptions.
What success looks like in 6–12 months
Stable, timely and auditable payroll with complete reconciliations and documented SOPs.
Reduced payroll manual interventions via automation and improved vendor SLAs.
Clean statutory records and audit-ready payroll ledgers.
Trusted advisory relationship with Finance and HR — payroll served as a value-adding function rather than a transactional one.
