Job description

The ideal candidate will be in charge of the organization and efficiency of daily office operations. From scheduling client meetings, to communicating between departments, you will be responsible for completing multi-level tasks in a professional and timely manner.

Responsibilities

  • Vendor Management in terms of procurement and documents as per company
  • Managing assets Inventory
  • Utility Bill Payments
  • Sending Monthly reports to HO so for me to prepare Dashboard and submit to Management
  • Managing Office Maintenance
  • General IT support like giving remote access, connecting cables , etc.
  • Keeping track of all company assets movement inward and outwards.
  • Facility management- manages office general requirements as per the employee request.
  • Primary point of contact between the executives and internal / external clients.
  • Receive incoming calls and emails, respond appropriately and route correspondence to the appropriate executive of staff member. (like some client calls and ask for commercial on Cybersecurity audit this request is forwarded to marketing department)
  • Handle all requests, feedback and queries quickly and professionally.
  • Maintain strong relationships with vendors and keep price data in order to get the best pricing on supplies and services.
  • All documentation work like post approval signing Audit report, EL, Audit certificate of different department
  • (Compliance and Audit, Assessment, SRA etc.)
  • Support cost cutting and follow the process of procurement with an approval mail from concern department RM.
  • Track stocks of office supplies and place orders, when necessary, with approval.
  • Assist colleagues whenever necessary.
  • Manage Courier, outgoing and Incoming shipment or Material.

Qualifications

  • Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  • Excellent written and verbal communication skills
  • Ability to multi-task, organize, and prioritize work
