Role Overview
We're seeking an experienced Admin Manager who can independently manage all administrative, facility, IT coordination, and vendor operations. This role demands a strong sense of ownership, the ability to manage complex tasks with minimal supervision, and the capability to ensure seamless day-to-day operations.
Key Responsibilities :
1. Office Administration & Facility Management
- Oversee daily office administration and ensure smooth facility operations.
- Manage infrastructure, seating, housekeeping, security, maintenance, and AMC services.
- Handle building maintenance requests, repairs, utility management, and compliance.
- Ensure adherence to RERA, fire safety, building regulations, and other statutory standards.
2. IT & Infrastructure Coordination
Coordinate with IT vendors for procurement, installation, maintenance, and troubleshooting of hardware / software.Manage IT assets, software licenses, access systems, CCTV, printers, and connectivity.Maintain accurate IT inventory, documentation, warranties, and AMC renewals.3. Building Contracts & Legal Documentation
Handle building agreements, renewals, rentals, and related legal paperwork.Oversee building registrations, permissions, statutory filings, and compliance records.Liaise with landlords, property managers, and external agencies.4. Vendor & Staff Management
Manage contracts, SLAs, and relationships with all admin-related vendors (IT, housekeeping, security, facility partners, etc.).Oversee admin staff, security personnel, and housekeeping teams.Monitor vendor performance, billing, payments, and service quality.5. Audits, Compliance & Policy Implementation
Ensure readiness and completion of all internal and external admin-related audits.Maintain documentation, trackers, policies, SOPs, and safety standards.Implement and monitor administrative guidelines and compliance frameworks.6. Procurement & Budget Management
Oversee procurement of supplies, IT equipment, utilities, and facility items.Evaluate quotations, negotiate costs, and track expenditures.Ensure timely procurement aligned with budgets.7. General Operations Support
Manage travel coordination, courier services, cafeteria operations, and office logistics.
Handle employee access, ID cards, visitor management, and admin requests.
Ensure quick resolution of operational issues across departments.
Required Skills & Qualifications :
4 to 8 years of experience in administration, facilities management, or operations.Strong knowledge of building contracts, facility operations, and vendor management.Hands-on experience managing IT coordination and hardware / software assets.Excellent negotiation, communication, and stakeholder-handling skills.Ability to work independently with strong ownership and problem-solving capability.Familiarity with statutory compliance related to office and facility management.Proficiency in MS Office, Google Workspace, and admin management systems.Key Attributes :
