The Associate Business Admin Support role is centered around providing quality administrative and business support to General Manager (GM) Engineering East team. It involves managing travel, events, documentation, and compliance tasks, while also supporting leadership teams and staff on internal processes. The position requires strong organizational skills, discretion, and a proactive approach to improving operational efficiency
What’s the role?
- Independently perform administrative support activities.
- SERP Timewriting and SAP TMS / Expenses 1st line support general / basic issues / “how-to” questions, monitor / report compliance for staff.
- Usage and administration of departmental credit cards for defined low value / low risk procurement
- Staff on boarding / off boarding & maintenance of on- / off boarding pack
- Create and update organograms.
- Assistance with booking trips and visas as needed.
- Management of on- and off-site workshops / conferences, meetings, events including researching venues, negotiating with third parties, costing activities, full administrative responsibility before, during and after the event.
- Coaching technical staff with administrative tasks including use of the available self-help tools (e.g. Concur, HR Online).
- Office Administration : Provide general admin support where applicable, i.e complex / large scanning, printing, reproduction, binding, typing. Liaise with SRE on stationery, office machines, pigeonholes, cabinets & trolleys
- Additional administrative / hybrid activities which are location or business unit specific including for example HSE administration and Quality System administration.
- Following Shell Code of Conduct. Complying with processes and procedures while safeguarding relations with staff.
What we need from you?
Minimum experience and qualifications
Graduate with 5-10 years of relevant administrative experience.Professional Skills
Proficient in standard office software; including Excel, Word, PowerPoint, Outlook. SAP tool.Strong understanding of internal business controls, with experience executing Manual of Authorities and ensuring compliance.Ability to deal with senior staff and to handle sensitive information.Soft Skills
