Job descriptionTravel to destinations for Beyond Axis retreats to support the team. Assist in setting up hospitality lounges and guest touchpoints. Oversee décor, entertainment setups, and food service coordination. Manage gifting, registration desks, and on-site logistics. Ensure smooth day-to-day execution with local vendors and staff. Draft and proofread emails, itineraries, and client communications. Maintain guest data, passport / visa records, and supplier contact lists. Prepare expense reports, supplier payments, and reconciliation summaries. Holds a valid passport and is willing to travel internationally. Fluent in English — both spoken and written — with clear pronunciation. Highly efficient, detail-oriented, and organized. Comfortable in a fast-paced, high-expectation environment. Eager to learn and flexible to take on a wide range of tasks. Physically active and able to assist in on-site execution work. Prior experience in travel, hospitality, or events is an advantage but not mandatory.

Role Overview
We’re seeking a highly organized, proactive, and well-spoken individual to support our founder and operations team in executing global retreats. This role demands excellent communication skills, attention to detail, and a genuine passion for travel and hospitality. You will coordinate with international partners, manage budgets, and ensure every on-ground detail runs seamlessly.
Key Responsibilities
Operations & Coordination
- Communicate effectively with international suppliers, hotels, and HNI clients.
- Take accurate notes during meetings and follow up on deliverables.
- Coordinate with accounting to track retreat budgets, spends, and margins.
- Maintain checklists, manifests, and logistics trackers for each retreat.
On-Ground Retreat Support
