Job Summary :
We are looking for a dedicated HR & Admin Executive to manage and support various HR and administrative functions in our Mohali office. This role requires a motivated, organized, and detail-oriented individual who can efficiently handle both HR and administrative tasks in a dynamic, multitasking environment. You will oversee day-to-day HR activities such as recruitment, attendance tracking, leave management, payroll processing, and employee engagement, alongside providing administrative support for the office’s operations.
Key Responsibilities :
Human Resources Responsibilities :
Recruitment and Onboarding
Source, screen, and schedule interviews for potential candidates.
Coordinate the onboarding process for new hires, including documentation, inductions, and training coordination.
Manage job postings, job descriptions, and candidate pipelines for various roles.
Attendance and Leave Management
Monitor daily attendance and maintain accurate records for all employees.
Handle leave requests, track leave balances, and maintain related documentation.
Payroll
Collaborate with team to ensure timely and accurate payroll processing.
Update payroll records for new hires, exits, and any other changes in employee details in our Payroll software
Employee Engagement
Assist in planning and organizing employee engagement activities to foster a positive workplace culture.
Address employee queries and provide support on HR policies and procedures.
Documentation and Compliance
Maintain employee records, HR files, and ensure confidentiality.
Support compliance with local labor laws and company policies.
Administrative Responsibilities :
Office Administration
Handle day-to-day administrative tasks, including managing office supplies, facility maintenance, and vendor relationships.
Act as the point of contact between the office and various stakeholders for smooth daily operations.
Document Management and Formatting
Maintain and organize physical and digital company documents, ensuring accessibility and security.
Format reports, presentations, and other documents to ensure consistency and professionalism.
Meeting Coordination
Coordinate meetings, appointments, and travel bookings.
Prepare and distribute meeting materials, and take minutes when required.
Support for Multi-functional Environment
Assist different departments with administrative tasks as needed.
Adapt quickly to various ad-hoc tasks and shifting priorities.
Key Requirements :
Education : Bachelor’s degree in Human Resources, Business Administration, or a related field.
Experience : 2+ years of experience in HR and Admin roles, ideally in a multi-functional environment.
Communication Skills : Excellent verbal and written English communication skills.
Software Proficiency : Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Interpersonal Skills : Strong organizational skills, attention to detail, and the ability to multitask effectively.
Adaptability : Ability to work independently and manage multiple priorities in a fast-paced environment.
Preferred Skills :
Familiarity with HRMS or payroll systems.
Prior experience in employee engagement initiatives.
Knowledge of basic compliance and labor laws in India.
