Job description

We are looking for a professional and welcoming Front Desk Executive to be the first point of contact for our company. This role is crucial for ensuring a positive experience for all visitors and managing the daily flow of communication and administrative tasks. The ideal candidate will be highly organized, adept at multitasking, and committed to providing excellent support to both employees and external guests.

Roles and Responsibilities

  • Front Desk Operations : Greet and welcome visitors in a professional manner, managing the reception area to ensure it is clean and organized.
  • Phone Management : Answer and direct all incoming phone calls accurately, taking messages and relaying information as needed.
  • Visitor Assistance : Check in visitors, issue badges, and ensure guests are comfortable and informed.
  • Scheduling : Schedule appointments and meetings, coordinating with internal and external contacts.
  • Mail and Package Handling : Receive, sort, and distribute all incoming mail, packages, and deliveries to the appropriate recipients.
  • Administrative Support : Assist with various administrative tasks, including data entry, filing, and maintaining office supplies.
  • Communication : Relay important messages and announcements to employees and provide information about the organization to visitors.
  • Coordination : Collaborate with other departments to coordinate visitor access, deliveries, and meeting room reservations.
  • Problem Solving : Address and resolve inquiries or concerns from visitors and employees in a courteous and timely manner.
  • Confidentiality : Handle sensitive information and maintain confidentiality when dealing with visitors and employees.
