Role Summary :
The Operations & BD Executive will be the central coordinator, ensuring that every function — including brand onboarding, designer onboarding, marketing execution, and tech operations — runs smoothly and efficiently. This role combines process management, data coordination, and execution support across multiple departments.
The ideal candidate is organized, tech-comfortable, proactive, and thrives on structure, clarity, and accountability.
Key Responsibilities :
1. Brand Onboarding & Catalogue Operations
- Coordinate with brand partners and internal teams for product data collection (catalogues, SKUs, images, specifications).
- Verify and organize brand data into the uploadable format compatible with the platform (Materialogue).
- Liaise with outsourced tech teams to ensure timely and accurate data uploads.
- Maintain a master tracker of brand onboarding status, ensuring deadlines are met.
2. Designer & Architect Onboarding Support
Assist the Community Manager in managing designer registration and verification.Maintain clean user data and CRM hygiene.Support training or demo sessions with logistics, scheduling, and feedback documentation.3. Cross-Functional Coordination
Act as the link between business, marketing, and tech teams.Ensure briefs, creatives, and campaign assets are properly tracked and delivered.Manage operational checklists, follow up on open tasks, and ensure smooth internal communication.4. Reporting & Data Management
Create and maintain dashboards for brand onboarding progress, designer engagement, and campaign metrics.Consolidate data from different functions (sales, marketing, onboarding) for management reports.Identify process gaps or inefficiencies and propose simple, scalable solutions.5. Vendor & Outsourcing Coordination
Track deliverables and timelines for outsourced tech and design vendors.Ensure documentation and approvals are completed before releases or updates.6. Administrative & Documentation Support
Maintain organized repositories of documents (NDAs, MOUs, content approvals, etc.).Assist with SOP creation and internal process documentation for repeatability.Must-Have Skills :
Technical & Operational Skills
Strong proficiency in Google Workspace (Sheets, Docs, Slides) and Microsoft MS Office.Comfortable with CRM or project management tools (Notion, ClickUp, HubSpot, or similar).Basic understanding of SaaS / digital platforms (comfortable with tech workflows).Data management and documentation excellence.Organizational & Soft Skills
Highly detail-oriented, methodical, and process-driven.Excellent communication and follow-up discipline.Strong time management and multitasking ability.Proactive problem solver with a “get-things-done” mindset.Ability to work in a fast-paced start-up environment with minimal supervision.Bonus Skills (Good to Have)
Experience in interior materials, e-commerce, marketplaces, or SaaS platforms.Understanding of catalog management systems or product databases.Basic analytics or dashboard creation (Google Data Studio / Sheets automation).Exposure to working with tech or UI / UX teams.Education :
Graduate / Postgraduate in Business Management, Commerce, or Technology / Engineering - with strong comfort in data management tools, documentation, and digital operations.
Growth Path :
This role can evolve into Operations Manager / Business Process Lead , overseeing vendor relations, automation, and data-driven decision systems as the company scales.
