We’re looking for a  highly organized and dependable Executive Assistant  who will serve as the backbone of the Director’s Office — managing operations, communication, and execution excellence.

Position Overview

As the  Executive Assistant to the Director , you will play a strategic and administrative role in supporting the company’s leadership. You will act as the Director’s primary point of coordination — managing their calendar, communications, and high-priority initiatives while ensuring operational efficiency across departments.

This is a hands-on role that requires exceptional attention to detail, business acumen, professionalism, and confidentiality.

Key Responsibilities

1. Calendar & Schedule Management

  • Manage and optimize the Director’s calendar — scheduling meetings, reviews, travel, and appointments efficiently.
  • Anticipate needs and proactively resolve scheduling conflicts.
  • Coordinate with department heads to align key internal and external meetings.

2. Communication & Correspondence

  • Act as the first point of contact for all communications to and from the Director’s office.
  • Draft, proofread, and format official emails, reports, and presentations.
  • Handle confidential correspondence with professionalism and discretion.
  • Maintain effective communication flow between the Director and internal teams, vendors, or external partners.
  • 3. Meeting & Coordination

  • Plan, organize, and coordinate meetings — including leadership reviews, investor calls, and operational check-ins.
  • Prepare meeting agendas, presentations, and briefing notes.
  • Record minutes, circulate summaries, and track actionable items to closure.
  • 4. Project & Task Management

  • Support the Director in managing key strategic initiatives and operational projects.
  • Track project progress, follow up with responsible teams, and ensure timely delivery.
  • Assist in creating performance dashboards and executive summaries.
  • 5. Travel & Logistics

  • Plan, book, and manage domestic and local travel arrangements (flights, accommodation, transport, etc.).
  • Prepare comprehensive itineraries and ensure smooth end-to-end travel coordination.
  • Manage expense reporting and reimbursements related to travel and official activities.
  • 6. Documentation & Presentation Management

  • Prepare professional-level documents, reports, and PowerPoint presentations.
  • Maintain and organize electronic and physical filing systems for easy access.
  • Support in drafting proposals, MoUs, and business correspondence when required.
  • 7. Research & Insights

  • Conduct background research and prepare briefs for meetings, events, or potential collaborations.
  • Compile data and insights to support decision-making and business strategy.
  • 8. Operational Support

  • Liaise with various departments to ensure timely execution of the Director’s directives.
  • Support coordination for vendor meetings, brand collaborations, or recruitment interviews.
  • Oversee office management requirements related to the Director’s functioning.
  • 9. Confidentiality & Professionalism

  • Handle sensitive company information with integrity and confidentiality.
  • Represent the Director’s office with maturity, professionalism, and discretion.
  • 10. Leadership Support

  • Serve as a strategic sounding board and support system for the Director.
  • Anticipate needs and provide solutions before issues arise.
  • Ensure the Director’s time is effectively utilized for high-impact priorities.
  • Qualifications & Skills

  • Bachelor’s degree in Business Administration, Management, or related field.
  • 4–5 years of experience as an Executive Assistant, preferably supporting CXO or Director-level executives.
  • Exceptional written and verbal communication skills.
  • Strong command over Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
  • Ability to multitask, prioritize, and manage multiple deadlines effectively.
  • High emotional intelligence, professionalism, and discretion.
  • Analytical mindset with attention to detail.
  • Confident, proactive, and resourceful personality.
  • Additional Details

  • Work Hours :  10 : 00 AM – 7 : 00 PM
  • Work Mode :  In-person (Noida Sector 63)
  • Local Travel :  May be required (conveyance provided)
  • Compensation :  As per market standard
