The role encompasses :
Internal Mobility
Assist the TD’s in implementing the mobility process on the TotalEnergies Job Posting tool
Run the annual mobility campaign. At the end of the EIA campaign, prepare a summary to identify the positions to be published and validate the information with the relevant employees and managers
Propose drafts of the job postings based on the Job Descriptions for validation by the managers before publication and ensure their proper publication (adherence to the campaign schedule)
Monitor the proper progress of administrative processes related to mobility - track assignment schedules, the issuance of ACS, and letters of appointment / nominations with the TD
Ensure the updating of application statuses for reporting purposes - rely on PowerBi reports to support and alert the TD on actions to be taken (publishing / re-publishing / closing offers, updating application statuses
Maintain mobility dashboard, publish internal communication and create awareness on the jobs posted on TJP site
Management of Campaigns .
Provide functional and operational support for HR campaigns, processes, and applications (People Review, EIA Campaign, Manager Review, etc.)
Frame in advance, anticipate and plan : launch note, presentation, synchronization meeting with stakeholders and internal communication throughout the campaign
Consolidate results and prepare the summary for management
Report in weekly meetings, monitor and alert the TD’s if necessary.
Conduct and formalize feedback (REX) aimed at continuous improvement
HR4U
Position creation, modification, inactivation and reactivation
ACS generation for mobility cases
Reports and dashboard as required for EIA's, Career Reviews, Mobility Campaigns, Reporting Structures.
Learning & Development
Maintaining all employee training record - both online & classroom on Lizzy and physical records as applicable
Update monthly training matrix for employees and publish Manday’s report
Monitor and track completion of mandatory compliance trainings ensuring 100% completion
Maintain management of change documents – training onboarding for new employees, integration path, mandatory training completion and competency assessment
Maintain all relevant training trackers, So Great campaign data and budget utilization report to ensure audit compliance
Create communication teasers and engagement tools to promote the learning initiatives of the affiliate
Organizing training event bookings, vendor coordination, vendor management as per company rules
Process all the invoices (TLS and local) with the finance team and the respective follow ups till the payment is done
Engagement
Publish annual engagement calendar by incorporating inputs from the HR team, Engagement Committee and Stakeholders
Hold quarterly communication and progress meeting with the Engagement Committee
Organize engagement activities with the support of the Administration Team
Create communication teasers, polls etc to drive participation in various engagement activities
Manage the TES survey portal for the Bi-annual TotalEnergies Survey
