About the job

The Agency Officer will act as the central point of communication between clients and agents, driving seamless service delivery and operational alignment. They will manage timely and accurate processing of PDA, DDA and FDA. by ensuring principal’s best interests are always protected.

Key responsibilities and expectations :

  • Ensure to meet the service level requirements and Standards of Operation process.
  • Receive Proforma Disbursement Account (PDA), Final Disbursement Account (FDA) and agent’s bank details.
  • Ensure all DAs are in line with service requests from the client and checking of supporting documentation. In case of any discrepancy with rates or supporting documents;

query the same with theAgents.

  • Following up with the Agents regularly via email / phone to get PDA / FDA and pending queries.
  • Ensure to explore all the feasible options in the interest of the principal and help our valuable principal by avoiding unnecessary expenses such as :
  • Cost Optimisation with co-ordination and proactive planning

    Data-driven negotiation and proactive engagement

    Cost Optimisation with Real-time oversight

    Cost Rationalization

  • Ensure adherence to required compliance checks while handling vessel service requests / enquiries.
  • Highlight any issues arising from day-to-day operations and escalate to Line Manager as required.
  • Checking handover, highlighting / briefing urgent / important emails that need immediate attention and actions.
  • Co-ordinating with IT / Product team for any system-related issue and mapping of ports, agents, and vessel.
  • Request Registration Form (RF) when it is necessary.
  • Forward RF to Global Master Data for Verification of bank details.
  • Provides smooth and efficient flow of work within a team.
  • Ensure coordination with the team to maintain important databases
  • Qualification : Bachelor's degree

    Experience & Skills :

  • Minimum 2 years of experience in Husbandry Operation and Disbursement Accounting.
  • Should have a basic knowledge of Shipping Operations.
  • Excellent communication skills, including strong proficiency in reading, writing, and interpreting English.
  • Should have prior experience working on Outlook.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint)
  • Should be flexible working in rotational shifts.
