Associate - Alumni Engagement

Job Purpose

To provide comprehensive administrative and outreach support for the effective execution of initiatives led by the Office of Alumni Engagement.

Job Outline & key responsibilities

The Office of Alumni Engagement works towards nurturing meaningful and enduring relationships between alumni and the School, as well as fostering connections among alumni across programmes and cohorts.

In coordination with the reporting manager, the job holder will enable the School to strengthen and enhance its engagement with alumni through effective support, coordination, and execution of outreach initiatives.

Key Responsibilities

Coordinate with internal and external stakeholders to support and assist in the planning and implementation of alumni engagement and outreach activities.

Liaise with Commercials, Finance, and Operations departments for vendor selection, raising purchase orders, and ensuring end-to-end coordination for facilities and related services.

Provide comprehensive administrative, data management, and logistical support for marquee alumni events, ensuring flawless execution.

Engage with relevant stakeholders to facilitate smooth organization of various events and outreach initiatives throughout the tenure.

Deliverables and % Time Spent

Alumni Outreach :

Support outreach initiatives to strengthen alumni relationships and promote sustained engagement across programmes and cohorts.

Liaise with alumni ves to facilitate community-driven initiatives and encourage active involvement.

Maintain and update alumni data to ensure accuracy for outreach, communication, and reporting purposes - 30%

Event Coordination and Logistics :

Provide comprehensive administrative and logistical support for alumni events and departmental activities.

Coordinate with internal teams and vendors for event execution, including venue arrangements, facilities, hospitality, and on-ground coordination.

Ensure high-quality delivery of events and adherence to institutional standards and timelines - 25%

Finance and Operations Support :

Manage event-related PRs, payments, and reimbursements in collaboration with the Commercials, Finance, and Operations departments.

Oversee expense tracking and ensure timely processing in line with School policies and financial protocols - 25%

Special Initiatives

Provide support for The ISB Young Alumni and Alumni Awards - 20%
