ROLE OBJECTIVE To become the central coordination and execution-control point for the Founder’s Office. The person must convert discussions and founder directions into clear actions, owners, deadlines, documentation, follow-ups and decision-ready reporting, ensuring that important matters do not remain scattered across meetings, messages or individual memory.
KEY RESPONSIBILITIES 1. PMO and execution tracking
Maintain one consolidated view of priority workstreams across approvals, masterplanning, projects, hospitality, sales, marketing, legal, finance and founder initiatives. Ensure every important task has an owner, deadline, status, next action and dependency.
2. Meeting management
Prepare agendas and pre-reads; attend relevant meetings; issue concise, actionable minutes on the same working day; convert outcomes into decisions, tasks, owners and follow-up cycles.
3. Follow-up and escalation
Follow up consistently with internal teams, consultants, agencies and external stakeholders. Identify stalled work, missing information and unresolved dependencies early; escalate clearly when required.
4. Founder reporting
Prepare a concise update covering what moved, what is delayed, what is high-risk and what decision is required. Structure scattered inputs into decision-ready notes rather than forwarding raw information.
5. Documentation and information control
Maintain disciplined Google Drive/Dropbox structures, naming conventions and version history for drawings, approvals, applications, agreements, work orders, vendor records and key communications. Ensure critical documents are quickly retrievable.
6. Marketing and communications coordination
Coordinate agencies and internal stakeholders on briefs, content calendars, feedback, approvals, deliverables and deadlines. Translate the Founder’s verbal direction into clear written instructions and track implementation.
7. Special projects and external meetings
Support hospitality partner meetings, investor preparation, strategic research and other selected initiatives. Prepare briefing notes, meeting packs and follow-up records; accompany the Founder to selected meetings when useful.
IDEAL CANDIDATE PROFILE
- Typically 4-12 years of relevant experience in PMO, project governance, programme coordination, executive operations, business operations, CEO/Founder’s Office, delivery governance or a hands-on EA-plus role with substantial cross-functional responsibility. Capability fit matters more than total tenure, and a strong senior EA-plus profile may also be considered.
- Demonstrated experience personally managing trackers, meeting outputs, cross-functional follow-ups, management reporting and closure - not merely supervising others.
- Excellent written and verbal English; able to draft crisp minutes, briefs, emails, instructions and escalation notes. Hindi is useful; Marathi is an advantage.
- Polished in communication, professionally groomed and credible in meetings with senior consultants, hospitality partners, investors and external professionals.
- Comfortable with Excel/Google Sheets, PowerPoint, Google Drive and digital collaboration tools. Exposure to Asana, Jira, ClickUp, Notion, Monday.com, Smartsheet or equivalent systems is preferred.
- Comfortable adopting and using AI tools for transcription, summarisation, research, document comparison, first drafts and workflow improvement. Existing hands-on use is preferred; strong learning agility is essential.
- High ownership, discretion, judgement and confidentiality in a founder-facing role.
- Persistent and composed in follow-up; neither passive with senior stakeholders nor unnecessarily confrontational.
- Naturally organised, detail-oriented and willing to personally handle granular documentation and system updates.
- Experience in technology, GCC, consulting, professional services, premium real estate, hospitality, aviation, BFSI or high-quality consumer organisations is useful. Practical capability matters more than pedigree.
