Job Summary :
We are looking for a proactive and dependable Executive Assistant to support the organization in steering high-value projects, business operations, and client engagements. This role goes beyond traditional administration—acting as a strategic enabler for leadership, ensuring smooth background operations, timely execution of follow-ups, and professional representation of the management office.
Key Responsibilities Area
- Assist management in day-to-day oversight of business operations, client deliverables, and project progress.
- Draft, review, and coordinate management communications, ensuring accuracy and professional alignment with company objectives.
- Manage leadership calendars, travel schedules, and stakeholder interactions.
- Record, prepare, and circulate Minutes of Meeting (MoM) for internal reviews, client meetings, and project discussions.
- Track agreed action items across projects, ensuring follow-up and closure within defined timelines.
- Support tender submissions, proposal documentation, and background research for EPCM / inspection projects.
- Supervise day-to-day office administration, vendor coordination, and documentation management.
- Maintain compliance-related records, inspection reports, and background operational files for leadership review.
- Liaise with finance, HR, and project teams to collate data required for leadership decisions.
- Prepare presentations, MIS reports, and dashboards for management and client reporting.
- Act as a central coordination point between leadership and functional teams (Operations, HR, Finance, Business Development).
- Handle sensitive information with discretion, integrity, and confidentiality.
Qualifications & Skills Required
Bachelor’s degree in business administration, Commerce, Engineering, or related discipline.2–5 years of experience as an Executive Assistant, preferably in EPCM, Oil & Gas, Infrastructure, or consulting domains.Strong organizational and project coordination skills with ability to multitask.Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).Excellent verbal and written communication skills.High degree of professionalism, discretion, and ability to work independently under pressure.What We Offer
