Job Objective :
Dispatch Executive (DE) is responsible for delivery of finished goods to the customer right material, in right time & rightquantity and measure of raw material sent for crushing.DE title differs based on the experience. Their basic role remains same with some additional responsibility.Fresher is called DT (Dispatch Trainee) and on promotion he can either be called Clerk or Executive based on therecommendations of the reporting head. As an Incharge his additional responsibility will be generating reporting,customer visits, Monthly stock reporting and conducting periodical weight-bridge maintenance.
KEY RESPONSIBILITIES :
Transporters (L&T Vendor) :
Ensure the availability of vehicle on daily basis. Inform the L&T vendor regarding load.
Ensure that the vehicle is properly maintained (vehicle condition) and the driver is licensed to ply the tripper.
Plan the orders based of No-Entry timings. The schedule has to be communicated to the Transporter.
Identify the Day & Night orders and distribute them the transporters, without any dispute.
Ensure the vehicles are following the FIFO method, deviations has to be intimated to the D&L Managerimmediately.
DE has to instruct the transporter to load the material for Bunker or from stock-yard.
Interacting and maintain good repo with the Transporters.
DE had to communicate the Tripper Driver regarding the order deviation. This need to be communicated to theconcerned Sales Person and a daily report on such deviation need to be sent to the D&L Manager & Sales Head.
DE has guide route to the Tripper Driver and ensure the material is dispatched at the right location. (DE needsto take legitimate route map for the sales personal).
Internal team (D&L Mgr, OM & Sales) :
Stock Availability : DE has to communicate the stock availability to the sales personal and the OperationsManager (OM).
To check the Loader availability and make the minimum utilization for loading of FG.
Weight-Bridge (WG) maintenance, cleaning and conducting the daily check.
DE has to record and maintain the blasting numbers quarry wise (if multiple quarries locations).
Quality and wrong loading need to be checked tripper wise, and inform any deviation to Quality I / C orOperations manager and D&L Mgr.
Sales monitoring of daily orders and indication the same to D&L Mgr. and the Sales Team.
Plant monitoring & updating plant information (break down / Transportation issues / stocks) etc. to sales.
Ensure material (raw material) from quarry is measure and based on the OM guidelines it is sent to hopper orstock-ward.
All physical stocks are measured on monthly basis (sand / 10mm / 20mm / NF).
Customer :
DE has to inform all night order customer about the vehicle and ensure the concerned person is available atthe site to receive the material.
Ensure each DC is enclosed with Royalty slip. The customer acknowledged DC is then collected for thedelivery / dispatch.
DE has to check if the orders are delivered.
Statutory Reporting / records :
The Write the “Royalty Slips” without any mistake and the same is recorded. Daily basis report has to the sentto OM.
Ensure the Pass is enclosed with the DC and the receive the acknowledge the copy after the material isdispatched.
CTC :
As per market standards.
