Job description

Job Title : Executive Assistant / Virtual Assistant

Key Responsibilities

1. Creative & Digital Product Support

  • Design coloring book pages and other creative assets in Canva
  • Assist with creating and formatting ebooks, guides, checklists, newsletters, courses, presentations, webinars, and masterclasses
  • Support AI video creation using tools like HeyGen, Opus, Wisk, Flow, and others
  • Help build and organize digital product libraries for distribution and upload (Etsy, Skool, Amazon KDP, etc.)

2. Content Creation & Social Media

  • Draft, edit, and repurpose blog posts, newsletters, and marketing content
  • Create engaging social media assets : reels, carousels, stories, and post captions
  • Maintain consistency with brand voice for NatalieNumbers; occasionally support additional brands such as RPM Elite Tax Solutions if workload permits
  • Support growth of Skool communities by drafting posts, helping with engagement strategies, and uploading content

    • 3. AI Tools & Automation

  • Use ChatGPT, Notion, Claude, and Google Gemini for productivity and content tasks
  • Use Perplexity as a research tool and test new tools such as Base44 (experience with Replit or similar alternatives for business optimization is a plus)
  • Support workflow automation using Zapier (experience with Make or MindPal is a plus)
  • Ability to create effective prompts is preferred; if not, prompts will be provided
  • Familiarity with GoHighLevel and / or Lovable.dev is a strong plus

    • 4. Organization & Operations

  • Extremely organized with ability to manage multiple projects and deadlines
  • Organize and track digital assets using Notion and shared Google Drives
  • Provide occasional support for webinars on Zoom, office hours, and virtual events
  • Maintain a running dashboard of tasks, workflows, and product pipelines
  • Track weekly project progress to ensure timelines and milestones for product and offer releases are met

    • 5. Visual & Design Platforms (Pluses, Not Required)

  • Familiarity with MidJourney, Ideogram, Hedra, or other AI image-generation platforms
  • Ability to support Gamma presentations and visual storytelling
  • Knowledge of Skool platform setup and content posting

    • Qualifications

  • 3+ years of experience as an Executive Assistant, Virtual Assistant, or similar role
  • Strong design skills with Canva (Pro)
  • Experience creating social media content and digital products
  • Proven ability to use AI tools for content, organization, and automation
  • Strong organizational and project management skills
  • Excellent written and verbal communication
  • Tech-savvy and eager to learn new AI and no-code tools quickly
  • High adaptability, confidentiality, and professionalism
