Hanna Instruments is a global manufacturer of scientific instruments used across Laboratory, Water Treatment, Education, Research, Food & Beverage, Agriculture, and various industrial sectors. With over 3000 high-precision products, our manufacturing facilities span the USA, Romania, and Mauritius. Our Indian operations are headquartered in Navi Mumbai with a strong nationwide Sales & Service network.

Key Responsibilities

Inventory Management

  • Update and maintain accurate inventory records in Zoho .
  • Perform regular stock reconciliation to match physical stock with system data.
  • Track stock movement, stock availability, and coordinate with warehouse / logistics teams.
  • Assist in preparing inventory reports and ensuring correct cost entries.

Order Processing

  • Process sales orders : verify pricing, discounts, customer details, tax calculations, and product availability.
  • Coordinate with sales and dispatch teams for timely order execution.
  • Support in resolving order-related issues or discrepancies.
  • Maintain proper documentation and tracking for all processed orders.
  • Purchase Management

  • Create and maintain purchase orders, verify supplier details, pricing, and delivery timelines.
  • Coordinate with vendors for order confirmations and timely deliveries.
  • Ensure accurate posting of purchase invoices in Zoho Books.
  • Assist in tracking outstanding POs, delivery delays, and vendor follow-ups.
  • Import Purchase Support

  • Handle import-related documentation like BOE, packing lists, invoices, etc.
  • Assist in calculating landed cost, customs duties, taxes, and foreign exchange considerations.
  • Coordinate with shipping agents, customs brokers, and suppliers for import-related tasks.
  • Accounting & Compliance

  • Book vouchers, invoices, receipts, and payments in Zoho .
  • Support accounts payable and accounts receivable processes.
  • Perform bank reconciliation and maintain records of payments / outstandings.
  • Ensure compliance with GST, TDS, and other accounting guidelines.
  • Maintain organized financial and transactional records for audit purposes.
  • Qualifications & Skills

  • Bachelor's degree in Accounting, Commerce, Finance, or related field.
  • Experience : 4+ years in accounting, inventory handling, order processing, or purchase operations.
  • Mandatory : Hands-on experience in Zoho Books, especially inventory, sales orders, and purchase modules.
  • Strong understanding of GST & TDS basics.
  • Good knowledge of import documentation and cost calculation (preferred).
  • Proficient in MS Office, especially Excel (VLOOKUP, Pivot Table).
  • Strong organizational skills, attention to detail, and ability to work cross-functionally.
