ADMINISTRATION AND OPERATIONS – SENIOR OFFICER

Cleantech Industry Resources accelerates United States solar, battery storage and EV projects by providing turnkey development as a service including 100% internal systems engineering. The company deploys a leading team that spun out of the largest solar power producer in the world. This team operates within a sophisticated suite of software to support projects from land origination, through to commercial operation.

    Position Summary

    The Administration and Operations Executive will be responsible for managing the Founder’s emails, scheduling meetings and calls across time zones, and handling day-to-day administrative activities to ensure smooth office operations. Reporting to the Director – Human Resources, this role requires excellent communication skills, strong organizational abilities, and a proactive, detail-oriented approach. The ideal candidate will be dependable, efficient, and capable of independently executing tasks such as coordinating interviews, maintaining office supplies, arranging hampers, and ensuring timely completion of assigned responsibilities.

    Core Responsibilities

    CRM Management : Founder Coordination

  • Manage and organize the Founder’s email inbox, ensuring timely responses and accurate prioritization of communication.
  • Schedule calls and meetings based on the Founder’s instructions, keeping in mind the time difference between India and the US.
  • Prepare and send meeting invites, reminders, and follow-ups to participants.
  • Coordinate with internal and external stakeholders to ensure all logistical details for meetings and discussions are handled smoothly.
  • Office Administration

  • Support day-to-day office administration activities such as managing stationery, coordinating with vendors, and ensuring basic office supplies are maintained.
  • Assist in organizing interviews and meetings at the office by coordinating schedules and logistical arrangements.
  • Help with internal engagement activities such as arranging hampers, ensuring timely birthday wishes, and maintaining related records.
  • Ensure the office environment is well-maintained and tasks are completed within the expected timelines.
  • Operations Support

  • Maintain trackers and documentation related to administrative tasks and office operations.
  • Support the HR and Admin function with ad-hoc operational needs or coordination activities.
  • Ensure all assigned tasks are followed through to closure with minimal supervision.
  • Education Requirements

  • Bachelor’s degree in business administration or a related field
  • Technical Skills and Experience

    Software Proficiency :

  • Microsoft Outlook
  • Teams
  • Monday.com
  • Microsoft Office Suite
  • SharePoint
  • Preferred Skills :

  • Prior experience supporting senior management or handling executive-level scheduling and communication will be an advantage.
  • Professional, discreet, and capable of maintaining confidentiality in all interactions.
  • Experience :

  • 3–4 years of experience in administrative or operations coordination roles.
  • Psychosocial Skills / Human Skills / Behavioural Skills

  • Strong analytical, organizational, and problem-solving skills.
  • Management experience a plus.
  • Entrepreneurial mindset with the ability to take ideas and run with them from concept to conclusion.
  • Technical understanding of clean energy business processes
  • Exceptional verbal and writing communication skills in English.
  • Strong proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint) and Microsoft Teams.
  • Ability to handle communication and scheduling across multiple time zones.
  • High attention to detail with strong organizational and multitasking abilities.
  • A proactive, dependable, and execution-driven approach to work
  • Excellent interpersonal skills while managing multiple priorities in a fast-paced and ever-changing environment.
  • Physical Demands
