Role Summary
The Payroll, Labour Laws & Compliance, and TDS Executive is responsible for accurate payroll processing, adherence to labour law requirements, and complete statutory compliance—including PF, ESIC, Factory Act compliances, TDS, and government filings. The role ensures that plant operations remain fully compliant with all regulatory guidelines while supporting employees with payroll and compliance-related queries.
2. Key Responsibilities
A. Strategic Payroll Management
- Define processes for Managing end-to-end monthly payroll for plant employees (staff, workers, apprentices, trainees, contractors).
- Setup processes for Validating attendance, overtime, shift allowances, leave records, incentive calculations, LOP, and production-linked wages.
- Coordinate with production supervisors for OT approvals and shift schedules.
- Ensure accurate payroll MIS reports for management.
- Maintain data confidentiality and audit-ready documentation.
B. Labour Laws & Statutory Compliance
Ensure compliance with all applicable labour laws including :Factories ActMinimum Wages ActPF & ESIC ActsPayment of Wages ActBonus ActGratuity ActContract Labour (Regulation & Abolition) ActShops & Establishment ActLabour Welfare Fund ActsMaintain statutory registers and records as required for factory inspections.Coordinate with labour department officials during inspections, audits, and renewals.Track and manage licences such as factory licence, CLRA licence, canteen licence, etc.Validate compliance for contract labour and assist contractors with statutory reports.Prepare compliance MIS and ensure timely filing of statutory returns.C. TDS & Income Tax Compliance
Deduct and deposit TDS for salary and non-salary payments (vendors, contractors, rent, professionals).File quarterly TDS returns (24Q, 26Q) accurately and on time.Prepare and distribute Form 16, Form 12BA, and investment declaration summaries.Assist employees with tax planning, exemptions, and annual declarations.Reconcile tax liability and coordinate with accounts for statutory payments.D. Documentation & Reporting
Maintain employee master data, statutory documents, tax proofs, and compliance files.Ensure timely preparation of :Payroll summaryStatutory deduction reportsOvertime & shift cost analysisStatutory registers (PF, ESIC, Bonus, Gratuity, etc.)Contractor compliance trackerSupport internal, statutory, and external audits.E. Employee Support & Coordination
Handle employee queries related to payroll, PF, ESIC, TDS, payslips, and compliance.Liaise with production, finance, contractors, and auditors for seamless operations.3. Skills & Competencies
Strong knowledge of labour laws , factory compliances , and statutory filings .Hands-on experience with Payroll processing , PF / ESIC portals , Shram Suvidha , Income Tax / TDS portals .Proficiency in MS Excel and payroll software (SAP, GreytHR, Spine HRMS, etc.).Strong numerical accuracy and attention to detail.Good communication and coordination skills.Ability to manage high volumes of data and time-sensitive deadlines.4. Education & Experience
Bachelor’s degree in Commerce / HR / Labour Law / Finance.3–6 years of experience in payroll, statutory compliance, and TDS—preferably in a manufacturing plant .Experience in labour inspections and statutory audits is highly preferred.5. Additional Requirements
Familiarity with shop-floor shift patterns, time & attendance systems, and wage structures.Ability to interpret labour laws and update management on regulatory changes.Willingness to coordinate with government departments when required.
