Job Summary
This role oversees the complete export sales cycle—from initial customer engagement to final delivery—ensuring smooth order processing, high customer satisfaction, accurate financial tracking, and full compliance with international trade regulations. The position plays a key role in supporting the department’s goals of revenue growth, profitability, and operational excellence.
Key Responsibilities
Customer Service & Order Management
- Respond to customer inquiries and prepare quotations and proforma invoices.
- Confirm and acknowledge sales orders.
- Coordinate pre-dispatch requirements such as specification sheets, logo approvals, packaging details, and shipping schedules with customers and the factory.
- Manage post-dispatch communication, including final invoices and shipment arrival updates.
- Address customer concerns promptly, including issues related to materials, quantities, shipment status, and insurance claims, to ensure satisfaction and repeat business.
Commercial & Payment Oversight
Maintain comprehensive records for each customer from quotation to delivery.Monitor and follow up on customer payments to ensure timely collections and reduce credit risk.Organize and update pending order files and payment / invoice records, sharing relevant details with customers and internal accounts teams.Operational Coordination & Compliance
Collaborate with internal departments such as production and logistics to ensure timely and accurate order fulfilment.Resolve shipping-related issues by coordinating with relevant teams and implementing corrective actions.Maintain well-organized documentation of customer interactions, orders, payments, and operational activities for audit and reporting purposes.Required Qualifications & Skills
Bachelor’s degree in Commerce, Science, or Business.Minimum 3 years of experience in export operations, customer service, or a similar coordination role.Strong verbal and written communication skills for effective interaction with customers and internal teams.High attention to detail and accuracy in documentation and financial tracking.Solid understanding of commercial terms and financial processes related to export sales.Proficiency in MS Outlook, Excel, and Word; familiarity with ERP / CRM systems is a plus.Problem-solving mindset with the ability to resolve customer and shipping issues efficiently.Capable of working independently and collaboratively within a team.Prior experience in the plastics or packaging industry is advantageous.
